The function of the Logistics and Equipment Coordinator is to manage and oversee aspects of MedCare’s supply and asset management systems. In conjunction with the Director of Logistics, this position is responsible for overseeing and conducting procurement, inventory management, asset management, determining / maintaining par levels, uniform ordering, and coordinating distribution to all MedCare bases.

  4. Creates service plans for capital medical equipment and presents to Director of Logistics.
  5. Researches and recommends new techniques, systems, and programs to improve services and efficiencies.
  6. Keeps Director of Logistics abreast of all items related to supply and asset management related to MedCare. 

Logistics 

  1. Monitors and oversees all aspects of Operative IQ at MedCare. 
  2. Establishes and maintains an inventory par level for pharmaceuticals, office supplies, medical supplies and base supplies based off of usage reports.
  3. Fulfills all order requests and coordinates supply and equipment delivery to all bases utilizing established Logistics Delivery Schedule.
  4. Ensures system of distributing mail and other supplies between all MedCare bases. 
  5. Performs a full inventory count, including current pricing, on all items semiannually for MedCare. Creates and emails detailed reports utilizing Operative IQ to Director of Logistics. Ensures monthly cycle counts occur at every base to ensure proper par levels.

Pharmaceuticals

31. Monitors expired medications and disposes of according to state code, excluding controlled substances.

32. Rotates stock so that it is used in the most efficient manner. Inspects medications, excluding controlled substances, for damage or tampering.

33. Receives and verifies shipments of medications and controlled substances.

34. Maintains records of receipt and distribution of all medications in compliance with the law and rules of the State of Ohio Board of Pharmacy.

35. Ensures compliance with all Board of Pharmacy regulations. 

Purchasing

  1. Plans, organizes, communicates and implements procurement of supplies, medications, medical equipment and services in such a manner as to ensure timely availability and quantity for MedCare. 
  2. Negotiates competitive pricing and proses to Director of Logistics for approval. Utilizes purchase orders and bids when procuring supplies, medications, uniforms and equipment.
  3. In conjunction with Director of Logistics, assists with the negotiation and purchasing of non-medical and medical supplies for all bases in accordance with company purchasing policies and budgetary restrictions.
  4. Maintains digital records for inventory, purchases, POs and assets utilizing Operative IQ.
  5. Reviews and reconciles invoices, purchase orders and/or packing slips to ensure correctness of items and to ensure accurate quantities are delivered.
  6. Regularly reviews vendors to ensure that procurements are being made utilizing the most cost-effective purchasing strategies.
  7. Ensures MedCare maintains all equipment: medical, portable, rolling stock or any other property of the organization/department in an acceptable manner.

Asset Management

  1. Prepares reports on all supplies and critical equipment failures as directed by Director of Logistics.
  2. Identifies, codes, and tracks all medical assets and equipment utilizing Operative IQ.
  3. Oversees schedule and records for preventive maintenance and repair of all medical equipment.
  4. Maintains accurate listing of vendor and equipment repair services in Operative IQ.
  5. Maintains clear process for tracking which biomedical equipment is in service or in need of repair, and has been fixed internally and externally.
  6. Coordinates all major medical equipment repairs through approved vendors and communicates status of in-service and out-of-service medical equipment and documents status in Operative IQ. Relays that information to appropriate Operational Managers. 

Financial Management

  1. Works with Director of Logistics to prepare supply, uniform, and equipment budget for MedCare. 

Operations Management 

  1. Conducts all business in accordance with appropriate standards, policies and procedures. Writes, updates, and sends operational policies and procedures to Director of Logistics for approval. 

32. Serves on assigned committees and task-forces as directed by Director of Logistics.

33. Educates new hires on Operative IQ procedures. 

Strategic Planning

  1. Focuses on strategic priorities; leverages expertise and best practice research to develop and align practical plans. 
  2. Has high awareness and understanding of competitive markets, service differentiators, and key business drivers. 

Requirements

  1. High school diploma or equivalent required.
  2. Formal training or experience in inventory management, or supply chain management preferred.
  3. Two years’ experience in a distribution center or healthcare supply preferred.
  4. Excellent written and verbal communication skills.
  5. Ability to multi-task and handle multiple projects at one time.
  6. Ability to work well with all levels of staff.
  7. Ability to work in an unstructured, non-routine environment.
  8. Ability to work independently with minimal direction.
  9. Good planning and organizational skills.
  10. Excellent computer skills. 
  11. Thorough knowledge of Microsoft Office.
  12. Problem solving skills and ability to exercise independent judgment and seek guidance when appropriate.
  13. Demonstrates excellence in leadership ability. 
  14. Effective interpersonal and communication skills.
  15. Computer knowledge to include but not limited to Microsoft Word, PowerPoint & Excel.
  16. Assertive, highly motivated, and able to work with considerable independence.
  17. Basic understanding of financial statements including balance sheets, income statements and business process management.
  18. Ability to develop effective working relationships with others and to influence others.
  19. Administrative skills and technical competency necessary for effective management in areas of responsibility.
  20. Knowledge of referring and receiving agencies within assigned region.
  21. Current, valid driver’s license.
  22. Must maintain an acceptable driving record per MedFlight’s insurance carrier.
