Job Title: Fleet and Program Administrator

Department: Operations

JOB SUMMARY: MSI is seeking to hire a Fleet and Program Administrator to join our team and oversee the purchasing and maintenance of vehicles to maximize our profitability. The Fleet and Program Administrator’s responsibilities include ordering vehicles, maintaining vehicle servicing records and ensuring operational efficiency across the fleet throughout the year. The Fleet and Program Administrator oversees all commercial vehicles, drivers, and related assets, including their operations, conditions, external and internal policy compliance, and overall performance.

ESSENTIAL FUNCTIONS:

  • Ensuring compliance with all applicable local, state, and federal regulations.
  • Purchasing vehicles to expand and/or enhance the fleet ensuring fleet availability for operational needs.
  • Develop and maintain systems and processes for scheduling fleet vehicles for repairs, and maintenance.
  • Communication with the leasing agents/insurance agents as it relates to vehicle accidents.
  • Ordering/approving urgent or emergency repairs as needed.
  • Managing driver programs such as, record keeping, safety compliance, Sun Pass, toll violations/tickets, ensuring proper licensure, registration, driver training, DOT, maintenance, and vehicle operation.
  • GPS administration including ordering and scheduling installation of GPS units, monitoring, reporting,
  • Providing reports to management on budgeting, schedules, maintenance, and fleet progress
  • Developing methods to decrease costs and improve efficiency.
  • Developing and implementing fuel management procedures, such as providing fuel cards to drivers or vehicles.
  • Administration of safety qualification websites.
  • Compiling and distributing training reports.
  • Other program initiatives as assigned.
  • Other administrative duties as assigned.

QUALIFICATIONS:

  • Ability to leverage technology to generate reports, interpret and deliver data.
  • Knowledge of Microsoft Office.
  • Great written and verbal communication skills.
  • Knowledge of best driving, delivery, vehicle maintenance and other industry practices.
  • Understanding of basic vehicle mechanics, including the ability to identify when major repairs are needed.
  • Ability to set and monitor a budget.
  • Good problem-solving, math, critical thinking and decision-making skills.
  • Exceptional organization, time management, attention to detail, and multitasking abilities.

Work Schedule: Monday – Friday
