MDVIP Practice Management is Hiring an Associate Manager, Practice Operations Near Bellevue, WA

Job Summary

Come join an innovative leader in the healthcare industry! MDVIP Practice Management, LLC is seeking an Associate Manager, Practice Operations who will provide operational analyses and support in all facets to improve practice operations and efficiencies. This includes but is not limited to; clinical operations, front office functions, general administrative support, regulatory compliance, training and education, SOP and best practices performed in the physician office setting. Function as liaison between PM Operations and new practice acquisition staff members. This role may function as an operations manager in all daily functions of office management as needed. This role reports to Practice Management Leadership and supports the Practice Operations team.

Qualifications

Bachelor’s degree from four-year college or university in Healthcare Management/Administration; or equivalent combination of education and experience where two years related experience equals one year of schooling. Master’s degree is preferred.• Knowledge of writing and implementing policies, procedures, systems, and objectives.• Experience with general ledger and expense reporting/bookkeeping, budgeting.• Demonstrated familiarity and experience using computer systems and applications, including Microsoft Office applications, and IT applications.• Possess excellent written and verbal skills, with demonstrated ability to use proper grammar, spelling, punctuation, and sentence structure to answer correspondence and prepare reports.• Ability to communicate effectively with patients, clinical and administrative staff, and the public.• Ability to plan, organize, and oversee staff.• Ability to evaluate the effectiveness of existing methods and procedures.• Ability to operate office equipment.• Ability to interpret, adapt and apply guidelines, policies, and procedures.• Ability to adhere to clinical safety regulations/guidelines.• Ability to react calmly and effectively in emergency situations.

Computer Proficiency:Proficient in Microsoft Office applications. Able to learn new software easily.

Certificates and Licenses:Valid Driver’s license with an insurable driving record.

Responsibilities

  • Daily supervision of short and long-term work plans and objectives for front office and clerical staff.Establishes guidelines for quality of patient care by practice staff, prioritizes work activities, evaluates effectiveness, and modifies activities as necessary to ensure appropriate staffing levels are maintained at the discretion of the Operations Manager.
    • Reports deficiencies to Practice Operations Manager, including events that may adversely impact practice operations. Recommends processes and procedures for improvement.
    • Facilitates regular staff meetings and huddles.
    • Regularly evaluates front office staff ensuring point-of-service collections are made when applicable
    • Audits time of service payment deposits and ensures CDR, petty cash, and office credit card are reconciled as outlined in standard operating procedures.
  • Facility and Operational Management.
    • Assesses practice needs for equipment and/or services and provides recommendations to the Operations Manager for identified replenishment/needs.
    • Supports Operations Manager in the setup of new vendors. Reconciles and approves invoices in a timely manner.
    • Works as a liaison with the MDVIP-approved EHR team in the training and development of physicians and staff.
    • Partners with the Quality and Compliance to ensure compliance with all applicable state and federal regulations such as protecting patients’ rights under HIPAA.
    • Coordinates timely response to any patient-related complaints or issues to ensure prompt resolution resulting in patient satisfaction as directed by the Operations Manager.
  • Assists with analysis and review of practice operations with physician monthly
    • Partners with Operations Managers to prepare for and conduct physician/management meetings, including establishing agenda in consultation with physicians; assist with preparing data for meetings.
    • Assists Operations Manager with practice, adhering to established budgetary guidelines.
    • Assists with enhancing revenue cycle management process by identifying missed opportunities in areas such as billing timing, discrepancies, and admin errors.
