The mission of the University of Texas M. D. SUMMARY
Function : The primary objective of the Education Program Coordinator is to provide logistical coordination and management of the educational activities and processes in the Department.
This effort directly involves the educational programs and initiatives, development of clinical objectives and assignments, and implementation of clinical policies for the GME UTHSC Cardiovascular Disease Fellowship Program and the Oncology-Cardiology Fellowship Program and educational programs for Research faculty and staff. Works closely with Cardiology leadership to strategically grow the Fellowship Program(s), Cardiology Grand Rounds, and the core curriculum lectures; facilitates opportunities for the fellow, manages rotating medical students and departmental student visitors, and appointment of research trainees; and ensures compliance with departmental, institutional and accrediting guidelines.
Manages all administrative programs and tasks by providing high level administration leadership in planning, organizing, and the implementation of program initiatives. Serves as the departmental representative to address internal and external inquiries related to education. Utilizes strong interpersonal skills to communicate with a variety of individuals, faculty, groups and committees within and outside the Institution.
Scope : Affects program operations, departmental efficiency and productivity, and its commitment to clinical and research education, future program planning and innovation. The position will interact with personnel at the University of Texas Health Science Center McGovern Medical School in Houston (UTHealth) and their Division of Cardiology, Texas Heart Institute, MD Anderson Cancer Center and the Department of Cardiology and Division of Internal Medicine. Will act as liaison to other departments including the Academic and Visa Affairs (AVA), Department of Clinical Education (DCE), and Continuing Medical Education (CME).
KEY FUNCTIONS:
1. Coordination and Administration of the Cardiovascular Disease Fellowship Program, Onco-Cardiology Fellowship Program, and Clinical Education Initiatives.
Manage the ACGME UTHSC Cardiovascular Disease Fellowship and the MDACC Onco-Cardiology Programs, including recruitment onboarding, program maintenance, improvements and administration.
Collaborate with Fellowship Program director and the Site Director for the UTHSC Cardiovascular Disease Fellowship Program, leadership, faculty, and other internal department supervisors to develop and maintain a comprehensive Cardiovascular Disease Fellowship core curriculum, schedule, educational manual, and materials.
Manage and reconcile programmatic expenses, fellow travel and adherence to institutional policies. Coordinates all trainee travel and reimbursement.
Maintain Cardiovascular Disease Fellowship Program's Accreditation Council for Graduate Medical Education (ACGME) certification. Maintain the Accreditation Data System (ADS), Program annual updates, Faculty scholarly activities, Fellow scholarly activities, Fellow and Faculty surveys. Semi-annually Milestone reporting used to facilitate improvements to curricula and resident performance. Review of case log for accuracy and reports.
Maintain New Innovations Program specific administration. Completes the Annual Program Evaluation (APE). Set up fiscal year program schedules, personnel demographics, block schedules, evaluations; Faculty of fellow, Fellow of program, 360, duty hours reporting and review. Maintains the ON-CALL schedule for the UTHSC Fellows.
Maintain program communications for Fellow Graduate Medical Education required Core Curriculum Lectures series and evaluations as well as the Clinical Quality Improvement Certificate requirements. Coordinate speaker schedules, meeting space, catering requirements, host sponsors, and attendance registration.

Strategically develops conferences and/or other educational programs as needed.
Manage conference attendance, schedule and take quarterly Clinical Competency Committee meeting minutes and Faculty Fellowship Committee meeting minutes. Manage contractual agreements with outside institutions and create new agreements as necessary. Complete annual programmatic review and implement necessary changes, per institutional guidelines.
2.Department Liaison and Project Coordinator for Fellows, Clinical Interns, Students, Observers, Research Appointments and Trainees, and Preceptorship Programs.
Serves as the liaison for SLATE and New Innovation applications processes for all Cardiology Fellowship Programs, Medical Student rotations, Clinical and Research Interns, Postdoctoral Research Fellows, Graduate Research Assistants, College students, Observers, Visiting Scientists, and Summer Preceptor Student programs.
Manage student observer ships within the Department. This includes but is not limited to reviewing requests, processing SLATE applications, initiating educational agreements, to include Letter of Agreements with out of state institutions, designing appropriate observations sponsors, and coordinating visitors' schedules with administrative staff and acting as onsite facilitator. Upload all required documentation for candidates, signatories, and needs assessments in a timely manner to meet the timeline of the program. Completes reappointment processes for trainee extensions.
Serve as programmatic advisor to the Faculty, ensuring operational efficacy and institutional compliance.
Serves as liaison to internal collaborators, including but not limited to Academic and Visa Affairs (AVA), Department of Clinical Education (DCE), Continuing Medical Education (CME), and the Division of Internal Medicine (DoIM), Faculty and Academic Affairs (FAA), and with Visa and Immigration Services Administration (VISA) for foreign medical graduates.
Conducts formal orientation process for all trainees upon arrival, set-up computer space, software and intranet accesses, etc. Receives, approves, organizes and schedules brief clinical tours for observational rotations and/or program applicants. Distributes certificates of completion.
Oversee the submission of all Education Program Agreements, within Total Contact Manager (TCM). Facilitate the review and execution of contracts with key stakeholders within t Legal, GME , HR colleagues and external institutions. Ensure the agreements are reviewed annually for compliance and or renewals.
Maintains documentation or all educational appointments to ensure compliance with programmatic requires for the accrediting agencies and institutional requirements. Maintains complete files on past, current, and future fellows and trainees in order to respond to ongoing requests for verification of past program completions.
3. Coordination of Off-Site Patient Care Operations:
Responsible for the coordination and the scheduling of invasive Cardiac Catheterizations, Cardiac MRI and Electrophysiology Pacemaker management cases, and other interventional procedures that are performed at other hospitals in the Texas Medical Center.

Coordinate with MDA and Hermann Hospital International Offices to obtain embassy clearance, if needed

Coordinates patient referrals with UT Memorial Hermann Hospital Center for Advanced Heart Failure
Request referral with MHHCAHF staff
Gather medical records
Copy non-invasive cardiology tests onto compact disk using Xcelera program
Schedule documents and disks to delivered via courier
Follow up with MHHCAHF for updates on referred patients
Schedule PET scan test with Memorial Hermann Hospital Weatherhead PET Center
Coordinate testing date with patient
Schedule test with Memorial Hermann Hospital Weatherhead PET Center
Complete order form for doctor's signature
Gather patient medical records
Send all documents to Memorial Hermann Hospital Weatherhead PET Center via fax
Follow up with patient to confirm scheduling of procedure
Schedule EP procedures with Memorial Hermann Hospital
4. Department Operations/Administrative Coordination
Maintains the Department academic database of clinical and basic science research/academic publishing by all Faculty.
Maintain the external Onco-Cardiology website.
Provides In-Service training to the administrative staff format standards of the institutional FIS system, the Faculty external profiles, PubMed, and the NIH Biosketch and annual compliance review to ensure accuracy of updated informaton.
Develops and maintains an extensive filing and evaluation system to track the progression and success of programs with each program director.
Serves as Department Registrar of OneConnect training for new employees and trainees.

EDUCATION: Bachelor's degree in related field.
EXPERIENCE: Five years of related professional experience. May substitute education for additional years of experience on a one-to-one basis.
