Mission Statement
Summary
The primary purpose of the Procurement Coordinator position in the HALs will be responsible for inputting order data, communicating with vendors, tracking shipments, identifying cost savings and improvements to the process.
Additionally, provide accounting support to Purchasing Services regarding general accounting issues. This position impacts the financial bottom line and customer / patient / vendor perception of the Supply Chain division and MD Anderson as an institution.
This position is a normal office setting. This position requires heavy telephone communication; therefore, you must have good verbal / written communication skills.
You must be highly motivated, self-managed, and able to prioritize and organize daily responsibilities. This position requires you to participate in educational in-house training and in-services to gain information regarding new policies, procedures and systems, which are electronic and / or manual, to assure appropriate response to issues, to acquire or refresh skills or to enhance job performance.
You must be able to operate a computer, calculator and business telephone; and you must be familiar with the use of Microsoft Word, Microsoft Excel and Microsoft Outlook.
Procurement Operations
Responsible for all aspects of the procurement process including preparation of quote analysis, source and pre-qualify suppliers, evaluate material and services, database maintenance, file management, invoice issue resolution, and audit support.
Review, update and implement purchasing and contract management instructions, policies, and procedures.
Responsible for monthly vendor statement maintenance including requesting, receiving, and posting statements to the data management system.
Reviews Invoice Not Received (INR) report and Received Not Invoiced (RNI) report to assess action needed to pay and / or clear all valid invoices or purchase orders.
Identify and resolves invoice exceptions. Coordinates receipt of goods with receiving facilities. Maintains accurate procurement records, by ensuring that receipts are adjusted as necessary.
Coordinates and distributes procurement data to Purchasing Services. Inputs information into Resource One.
Serves as liaison between Department, Purchasing, Accounts Payable, Sourcing, Materials Management and the vendor to remedy performance issues.
Assists in other departmental areas as required.
Delivers accurate and timely follow up actions to all customers, internal and external on various procurement issues. Maintains relationship with present suppliers and follows UTMDACC purchasing guidelines.
Provides feedback within 24-hour to all personnel regarding status of orders (return, receipt, etc.) either by telephone, in person, or through e-mail as requested.
Troubleshoots all purchasing problems and sees them through to resolution.
Works closely with all parties to ensure accurate completion of documentation and efficiency of operations.
Attends continuing education concerning institutional procedures, policies, and state regulations regarding purchasing and accounting records
Manages supply inventory, orders, tracking, etc.
Manages Purchasing and Expense tracking
Reconciles procard on a monthly basis
Completes and submits EAJ's as needed
Open service annual Purchase Orders
Stats : Monthly orders placed for 12 services average 75 / -
Other duties as assigned
EDUCATION
Required : High school diploma or equivalent
Preferred : Bachelor's degree in Business Administration or related field
EXPERIENCE
Required : Six years in general business environment experience. With preferred degree, two years of experience in a general business environment is required.
Preferred : Experience with creating requisitions, ordering medical / surgical supplies and diagnostic equipment for use in clinics.
