McLean Community Center is Hiring a Special Events Coordinator Near Mc Lean, VA

Special Events Coordinator

Salary: $22.00-$27.00 an hour, based on experience.

Location: McLean Community Center, 1234 Ingleside Ave., McLean VA 22101

Hours: Part time. An average of 30 hrs. a week, not to exceed 1,560 hours in a calendar year.

Position requires the ability to work some evenings, weekends, and holidays as required throughout the calendar year. Hours may vary according to events schedule. Hours will be determined by the McLean Community Center’s event schedule.

Benefits: Limited medical benefits are available.

The McLean Community Center’s (MCC) Special Events Department is seeking a three quarter-time recreation Special Events Coordinator to perform special event administrative and practical duties and work a variety of special events throughout the year. Occasional evening, weekend and holiday work will be required.

Special Events Coordinator performs under the supervision of the Special Events Manager and in accordance with the policy and procedures established by the County of Fairfax, the McLean Community Center, and its Governing Board. MCC Special Events include annual festivals, adult, family, and youth related events, antique/crafts/pet shows, seasonal, and other event offerings. These events are interdisciplinary and multi-generational in nature with the central focus on promoting a sense of community for the Small District 1-A Dranesville residents in McLean, Virginia. MCC events are designed to attract participants not only from the Small Tax District 1-A Dranesville, but, throughout the D.C. Metro Area.

The ideal candidate must have strong administrative, organizational, written, and oral communication skills, and have excellent customer service skills. The Special Events Coordinator will assist the Special Events Manager to plan, develop, implement, and evaluate events. Candidate must be able to develop, schedule, make logistical arrangements, promote, implement, and execute various aspects of the MCC’s special events. Knowledge of the principles and practices of recreation, fiscal record keeping, and inventory procedures are required.

Responsibilities include identifying and tracking budget expenses and payment processes, event trends, and maintaining department records including those of service providers, exhibitors, exhibitor applications, and other relevant event data.

Key responsibilities:

Administrative duties and support of the Special Events department

  • Event requirements including pre-post event planning, coordination, and execution of special events
  • Arranging event services
  • Able to follow program plans, create schedules, implement logistics, track expenses, follow timelines, etc.
  • Assist in solving event-related challenges.
  • Maintain positive and consistent working relationships with sponsors, exhibitors, vendors, and staff
  • Provide quality customer service in all internal and external interactions.
  • Other related duties as assigned.

This position will work on various aspects of special events which include but are not limited to administrative duties and support, pre-post event planning and coordination, production, and execution of events, facilitating event activities, and assist with the physical set-up and breakdown of events.

Minimum Qualifications: High school diploma or equivalent required. Minimum age is 18 years.

Preferred Qualifications: Graduation from an accredited two-year or four-year college or university with an associate or bachelor’s degree in event management, business administration, recreation, or related field; plus, two years of related experience in events, recreation or leisure programming, or community-based programming or coordination, or a related field, as applicable to the position.

Preferred experience in special events, event planning, coordination, recreation administration, leisure services or closely related field.

Any combination of education, experience, and training equivalent to the stated requirement may be considered.

Qualifications and Skills: Job skills related to event coordination, management and planning, recreation coordination and management, leisure services and other related fields. Experience with tracking budget revenue and expenditures. Possess strong ability to organize and categorize event elements and documents. Possess strong interpersonal skills for staff, vendors, exhibitors, volunteers and the public. Working knowledge of Microsoft Office Suite, Publisher, and Adobe.

Certificates and Licenses Required:

  • CPR, First Aid, and AED certifications (Required within 3 months) - Training provided by the agency.

Physical Requirements: Required to assist with the physical set-up and breakdown of events.

· Operate keyboard driven equipment and read monitor.

· Communicate with others verbally and in writing.

· Position requires physical mobility and sensory awareness sufficient to observe and direct staff/volunteers, performance, activities, facility operations and maintenance, and operate a golf cart.

· Ability to bend, stoop, kneel, reach, twist, carry, stand, and walk for extended periods of time.

· Able to set-up and take down events: pop up and take down tents, move tables, chairs, drive a golf cart, and operate other light duty equipment.

· Able to lift and carry up to 25 pounds.

Special Requirements: The appointee to this position will be required to complete a criminal background check, driving record check and child protective services check to the satisfaction of the employer.

Selection Procedure: Panel interview. May include practical exercise.
