About your role :

The Finance Assistant assists the Finance Director with clerical and administrative functions in the department. This role receives packages and contract deals from the finance and sales departments.

Essential Duties and Major Responsibilities :

  • Process car deals, and compile documents to send to banks and lenders to receive funds.
  • Validates that all contract information is complete and accurate.
  • Notates any missing forms or data; sources the appropriate dealership personnel for form or data completion; tracks missing data until complete.
  • Ensures customer satisfaction throughout the finance process.
  • Maintains compliance with local, state, and federal regulations.
  • Ensures applicable controls are in place to monitor finance practices and safeguard dealership assets and customer data.
  • Assist the billing team by processing deals promptly.
  • Assists with other duties as assigned.
  • Follow scheduled hours as needed, defined by your manager.

Education :

High school diploma or equivalent is required.

Type of Experience Needed to be Successful :

Entry level - Prior automotive finance or accounting experience is preferred.

Specialized Skills :

  • Hands-on, team-oriented, and committed to business improvement processes.
  • Strong problem-solving capabilities.
  • Exceptional attention to detail.
  • Proficient verbal / written communication skills in customer interactions with employees, vendors, and management.
  • Must maintain a valid state driver’s license to drive any customer or company vehicle.
  • Knowledge of administrative and accounting procedures.
  • Knowledge of computer software, including Microsoft Office Suite and various automotive management systems.
  • Proficient verbal and written communication skills, including speaking or writing to others to convey information effectively, understand speech and written sentences and communicate effectively.
  • Strong attention to detail, with the ability to manage complex finance and necessary controls and reporting.

Supervisory Expectations :

The position has no regular responsibility for overseeing or supervising the work of other team members.

Independence of Action :

The supervisor / manager closely monitors work; detailed instructions and procedures are generally provided.

Physical Demands and Work Environment : (The phrases occasionally, regularly, and frequently correspond to the following definitions : occasionally means up to ⅓ of working time, regularly means between ⅓ and ⅔ of working time, and frequently means ⅔ and more of working time.)

  • The work environment is a typical Automotive Retail Dealership environment. The employee must complete their work satisfactorily in an environment with significant distractions, including staff, clients, and vendors walking through and conversing, telephone ringing, conversations carrying over, loud noises, and interruptions to answer questions from others.

While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools, or controls.

The employee frequently is required to talk or hear. The employee is occasionally required to stand, walk, reach with hands and arms, and stoop, kneel, crouch, or crawl.

The employee must occasionally lift and / or move up to 15 pounds and should do so in a sound and safe manner. This job’s specific vision abilities include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
