About the Position:

A Buyer Assistant plays a vital role in supporting the procurement and purchasing operations within an organization. This position involves assisting the Buyer or Procurement Team in various tasks related to sourcing, negotiation, order processing, and supplier management. The Buyer Assistant helps ensure that the procurement process runs smoothly and efficiently.


Key Responsibilities:


  • Sourcing and Research:
    • Assist in identifying potential suppliers and conducting market research to gather information on product availability, pricing, and supplier capabilities.
    • Maintain supplier databases and contact information.

  • Purchase Order Processing:
    • Assist in creating and processing purchase orders, ensuring accuracy and compliance with procurement policies and procedures.
    • Monitor order statuses, shipment tracking, and delivery schedules.

  • Supplier Communication:
    • Communicate with suppliers to obtain quotes, negotiate terms, and request information or documentation as needed.
    • Address routine supplier inquiries and resolve minor issues, escalating more complex problems to the Buyer or Procurement Team.
  • Inventory Management:
    • Work with inventory control teams to maintain appropriate stock levels, place replenishment orders, and minimize excess inventory.
    • Help manage stock rotation and storage requirements.

  • Data Management:
    • Maintain procurement records, including supplier contracts, purchase orders, and invoices.
    • Prepare reports and analyze data to support procurement decisions and cost-saving initiatives.
  • Quality Control and Assurance:
    • Assist in monitoring product quality and specifications, collaborating with quality control teams to ensure compliance with standards.

  • Documentation and Compliance:
    • Ensure all procurement-related documentation is filed appropriately and in compliance with company policies and relevant regulations.

Physical Demands:

Some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally, the job requires 70% sitting, 20% walking, and 10% standing. This job is performed in a generally clean and healthy office environment.
