Matt Ricchio Real Estate Group - Keller Williams Real Estate is Hiring a Real Estate Team Operations Manager Near Allentown, PA

Seeking a driven, independent, and highly-organized Operations Manager to support a growing Real Estate Team to continue to grow and scale their real estate business.

This is a unique opportunity to provide administrative, operational, and management support through a wide array of initiatives in the field of real estate sales and marketing. The ideal candidate must be a self-starter, passionate about building & implementing operations/systems and delivering unparalleled customer service. They must also be prepared to assist in the hiring, training, and management of new team members as the business grows.

We are looking for someone who is wanting to grow within the brokerage, this is a person who relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The operations manager is deeply committed to completing tasks with a high degree of quality, attention to detail, and consistent communication. this person has immense focus and can do one thing for a long time without getting distracted. This individual will have the drive and desire to influence the team (and outside prospects) to grow their business and find success. The candidate for this job must be persistent and have stability.

The operations manager is deeply committed to supporting the Team in achieving greater levels of success, as well as to growing his/her own skills and developing into a supportive leader within the team. as the success of the team grows, this individual will be responsible for hiring, training, and leading additional team members to ensure all operational tasks of the brokerage business continues to be completed to high standards with maximum efficiency.

This position will have a 90 trial period. It will start with 20 hours a week and then be re-evaluated after the 90 day trial period is up. The hours and compensation will then be decided.

Responsibilities

  • Provide day-to-day administrative and operational support to Team.
  • Manage complex calendars, current projects, customer fire drills and various project needs.
  • Organize internal and external meetings.
  • Lead and provide support and follow up on various businesses and special projects as assigned by Team Leader which touch on a broad range of topics.
  • Conduct, research and create reports and/or presentations.
  • Act as the right hand to Team Leader. Oversee other employees.
  • Prepare materials for meetings including planning, agenda preparation, and time tracking.
  • Manage internal and external communications including email, and phone correspondences.
  • Assist Team Leader with prioritizing, strategizing, and keeping focused on key tasks and projects.
  • Assist Team Leader to maintain an organizational system to keep office space clean, tidy, and organized.
  • Coordinate travel arrangements.
  • Maintain database for Team Leader & Team.
  • Oversee all administrative activities within the Team.
  • Track agents progress to help achieve growth and create accountability with leads.
  • Responsible for planning and managing client events
  • Follow up with new agents on the onboarding process.
  • Find new talent to join our successful sales team. Encourage agents to join through phone calls, emails, in-person appointments, or other forms of communication.
  • Oversee the steps in hiring, from interview scheduling, making recommendations on top talent, and following up with those who are not selected.
  • Maintain clear records of all applicants, their interviews, and data from their application to streamline the candidate pipeline and keep applicant information private.
  • Follow up on all marketing for agents & Team.
  • Follow up with agents weekly on client interactions.
  • Compose monthly newsletters.
  • Work with Broker to manage calendar events
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support.
  • Manage and maintain all financial systems, including balancing the books, paying the bills, handling payroll, ensuring the collection of commissions, maintaining the budget, tax planning and generating financial reports.
  • Track and maintain Earnest money brought into the brokerage for our transactions.
  • Create and maintain an operations manual that documents all systems and standards.
  • Coordinate the purchase, installation, and maintenance of all office equipment.
  • Be the first point of contact in handling customer inquiries or complaints via phone or email.
  • Keep the Team Leader informed regarding any problems or issues that need to be handled.
  • Responsible for hiring, training, consulting, and holding accountable all additional administrative team members

  • Build your knowledge/skills to build the Team.
  • Need to have strong written and verbal communication skills.
  • Exceptional organizational and project management abilities.
  • Bookkeeping skills or willingness to learn.
  • Strong ability to focus and have the foresight to see what needs to be done at high level for growth.
  • Concerned about doing things the right way.
  • Able to be calm under pressure.

Qualifications

  • Must have a proven track record with management, high level/executive administration or relevant experiences, preferably in the real estate industry.
  • Positive, can-do attitude and highly adaptable with a demonstrated ability to succeed in a fast-paced sales environment.
  • Self-starter, intelligent, eager to learn new things, grow professionally and personally.
  • Proven organizational and project management skills with meticulous attention to detail, ability to work under pressure and consistently make deadlines.
  • Strong time management skills, ability to assess and manage priorities, excellent verbal and written communication skills.
  • Self-directed and work independently toward objectives with a sense of urgency.
  • Approach job duties with a sense of ownership, confidentiality, commitment, honesty, loyalty and integrity.
  • Flexible and willing to work to respond to emerging needs, last minute changes and assist with other projects in an "all-hands-on-deck" manner.
  • Solutions-oriented, can think fast on their feet while remaining cool under pressure.
  • Flexible with working days and hours as needed.
  • Bachelor’s Degree preferred.
  • Understanding of Docusign.
  • Worked with Canva and other marketing programs.
  • Understanding of social media platforms.
  • Have worked with a CRM in the past or can learn computer programs quickly.
  • Must have a valid driver's license and working car
  • Must be a high school graduate.
  • Bachelor’s degree preferred.
  • Real estate license not required, but preferred (will be sponsored to achieve one at a later date).
  • 1 – 3 years of service and management experience
  • 2 - 4 years of administrative experience
