JOB SUMMARY The Grants Compliance Coordinator oversees the pre- and post- award processes for grants, including submission, policies, systems, and documentation to ensure compliance, incorporate best practices, and ensure quality controls. This position works closely with development, fiscal, and program departments to ensure accurate, timely, efficient, and transparent processes are in place for a grant's life cycle. GENERAL RESPONSIBILITIES Grant Management
Work with the grants and quality team to structure planning for new grant opportunities that align with the organization's mission and programming.
Support with the preparation of grant proposals, ensuring that grants being submitted have all the necessary data and achieves requested reporting requirements.
Develop and maintain relationships with program staff and leaders to ensure that there is clear understanding of how programs are run and how the data is captured.
Work closely with fiscal, program/grant leads, and leadership to ensure accurate financial reporting and procedural compliance on grants.
Manage and track grant budgets, ensuring funds are allocated appropriately and there is consistency in monthly spending, and address any under/overspending trends.
Prepare comprehensive grant reports, detailing program outcomes and financial accountability.
Data Analysis
Collect, clean, and analyze data from various sources to provide insights into program effectiveness and impact.
Create and maintain data dashboards, visualizations, and reports for internal and external stakeholders.
Collaborate with program managers to establish key performance indicators (KPIs) and monitor progress toward contract and organizational goals.
Conduct statistical analysis to identify trends and opportunities for improvement.
Present data-driven recommendations to inform strategic planning and decision-making.
Compliance
Ensure compliance with all grant-related regulations, reporting requirements, and documentation.
Maintain accurate records of grant applications, awards, and reporting deadlines.
Document all data analysis methodologies and findings for future reference and transparency.
Communicate grant-related information to staff, board of directors, and external partners as needed.
Participate in meetings and presentations to share data-driven insights and recommendations.
POSITION QUALIFICATIONS
Bachelor's degree in related field (e.g., public policy, data science, business, non-profit management).
3 to 5 years' experience in grant management, tracking, assessing trends, comprehensive reporting, and compliance management.
Detail orientated with a high skill level of effective verbal and written communication.
Well-organized and self-directed, while also operating as a team player
High-level problem-solving skills and collaborative ability to work with others to facilitate the grant process.
Ability to manage multiple priorities to ensure work is completed in a timely and productive manner.
Solid knowledge of and ability to use databases.
Ability to relate to individuals at all levels of an organization and model behavior consistent with Matrix Human Services vision, mission, and values.
Adaptable and comfortable in working with some ambiguity.
WORKING AND ENVIRONMENTAL CONDITIONS: Works in a normal office environment with usual pressures of managing personnel and dealing with time constraints. Because of multiple sites within the department and the need to meet with others within the community, it is common to drive to several locations, sometimes in inclement weather.
