Job Description:

OFFICIAL TITLE: Associate Director, Accounting Manager for Worcester State Foundation and University Advancement
SUPERVISION RECEIVED: Director of Advancement Services
SUPERVISION EXERCISED: UA Accountant(s) and other subordinate personnel, as assigned
General Statement of Duties: The Associate Director, Accounting Manager for Worcester State Foundation and University Advancement is responsible for upholding the integrity of the department's financial accounting systems. The incumbent performs routine accounting responsibilities to accurately record and report out on financial transactions associated with the foundation and various grants.
They are responsible for Worcester State Foundation (501c3) financial records and annual independent audit of the financial records. The incumbent is required to ensure accurate financial reporting of Worcester State University's fundraising subsidiary, Worcester State Foundation, in coordination with WSU's Controller and in compliance with all financial reporting standards, generally accepted accounting principles and federal, state, local rules, regulations and policies.
Responsibilities:
(E) = Essential
  1. (E) Maintains the general ledger, chart of accounts, accounting records, and relevant files within the University Advancement Finance Systems; monitor for accuracy and resolves discrepancies.
  2. (E) Oversees the daily updating of records within the University Advancement Finance Systems; works collaboratively with staff to uphold the integrity of information transferred from the Raiser's Edge database; utilizes the systems to produce accurate reports and records.
  3. (E) Consults with the WSU Controller and University fiscal staff, as appropriate, coordinate recording of financial transactions within each organization's financial records.
  4. (E) Manages, trains, and supervises team members on internal controls related to Financial Reporting and Compliance, meeting federal, state, university, and foundation standards.
  5. (E) Directs treasury services for the foundation between checking and investment accounts.
  6. (E) Perform analytical procedures including investigation of unusual transactions or unexpected variances on monthly financial reports.
  7. (E) Processing of Foundation related tax obligations, such as, but not limited to Form 990 and MA Form PC.
  8. (E) Providing monthly and/or quarterly financial statements for University Advancement leadership.
  9. (E) Works with the WSU Controller and Staff Accountant, UA staff, and Grants staff to monitor and report grant funds managed through the foundation to ensure compliance with grant requirements, and ensures that expenditures are consistently aligned with related grants and program budgets.
  10. (E) Reviews and approves various transactions, reimbursement requests, and internal and external reports relative to foundation spending.
  11. (E) Oversees Positive Pay in all bank accounts and manages access for authorized users.
  12. (E) Collaborates with the staff liaison of the Faculty and Student Research committee to monitor & approve the spending of The Faculty & Student Research Awards.
  13. (E) Responsible for month-end reconciliations and closing procedures.
  14. (E) Responsible for all fiscal year-end closing process.
  15. (E) Prepares records for financial and compliance audits.
  16. (E) Required attendance at Foundation Audit Committee and Endowment Committee meetings.
  17. (E) Provides in-depth financial reporting upon request of supervisor, and other departmental leaders.
  18. (E) Responsible for the complete and accurate reporting of all financial transactions of Worcester State Foundation.
  19. (E) Adheres to federal, state, local, and Worcester State rules, regulations and policies; applies general accepted accounting principles to work product in an accurate and timely manner.
  20. (E) Researches and maintains knowledge base of accounting and financial pronouncements, rulings and guidelines that effect not for profit organizations such as those issued by FASB.
  21. (E) Foster and develop an environment of quality customer service to both internal and external "stakeholders."
  22. (E) Responsible for contributing to the WSU Strategic Plan.
  23. (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  24. Performs other duties as assigned.
Requirements:

Required Qualifications:
  • Bachelor's degree in accounting.
  • At least 4 years of relevant experience in a professional setting.
  • Solid understanding of general accepted accounting principles and ability to apply them in the workplace
  • Ability to interpret state and federal law, regulations and procedures for financial operations and accounting systems; ability to enforce policies and protocols as needed.
  • Excellent organizational skills; ability to effectively balance multiple projects and assignments with competing deadlines; possess strong attention to detail with ability to prioritize assignments.
  • Strong and effective communication skills; ability to communicate well in both written and oral formats, ability to create, write, and present reports.
  • Demonstrated skills with Microsoft Office software including Word, Excel, Access and PowerPoint; ability to learn and become experienced with other software programs.
  • Ability to effectively analyze data and produce accurate reports.
  • Ability to work well independently and as part of a team, working cooperatively and respectfully with all constituents.
  • Ability to problem-solve and make complex decisions; respects and maintains confidential information.
  • Ability to work extended hours during peak periods.
Preferred Qualifications:
  • Master's degree or CPA or CFE or CMA.
  • Experience with Raiser's Edge and Financial Edge database applications.
Additional Information:

This is a full-time, benefited, exempt, professional APA position. The firm annual salary range for this position is $85,000- $90,000, commensurate with relevant professional experience and education.
