Martin County Schools is Hiring a Purchasing Agent Near Williamston, NC

Martin County Schools currently has an opening for a Purchasing Agent. (Start Date: February 12, 2024) This is a 12-month position, and the salary is based on grade 63 of the state salary scale for public school employees with the exact amount determined by verified years of related experience. GRADE: 63

FLSA: Non-Exempt

REPORTS TO: Finance Officer

TERMS OF EMPLOYMENT: 12 Months

QUALIFICATIONS:

  • Associate’s degree in Accounting or related area, AND
  • At least five (5) years of experience in a business/accounting work environment
  • (preference given to candidates with such experience in a public school setting), OR
  • Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

NATURE OF WORK: The Purchasing Agent performs a wide range of duties related to all parts of the purchasing process for the school district. Work requires initiative and independent judgement in the application of prescribed policies, procedures, and methods.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive. The employee is required to follow all board policies and procedures and to comply with the instructions and/or directives from his/her supervisor(s).

  • Processes mail related to purchasing and invoices.
  • Distributes necessary mail to directors/supervisors and schools.
  • Receives all purchase orders from schools and directors/supervisors and verifies information and compliance with State Purchasing Contract and vendor listing.
  • Verifies availability of budgeted funds to cover expense for purchase orders.
  • Processes all purchase orders for the Finance Department.
  • Receives invoices and matches with purchase orders—codes invoices for payment.
  • Processes budget printouts for supervisors/principals on a monthly basis and as requested.
  • Manages the district’s Amazon Business account.
  • Uses the internet to access state term contracts.
  • Maintains regular filing systems and compiles information at the request of supervisors.
  • Prepares correspondence and reports as instructed.
  • Utilizes current technology to complete tasks.
  • Accepts responsibility of office reports and office operations.
  • Makes routine decisions in accordance with established policies and procedures.
  • Interacts professionally and appropriately with the public and district staff in person and on the telephone.
  • Performs other duties and responsibilities as assigned by supervisor.

PHYSICAL AND COGNITIVE REQUIREMENTS: The major physical and cognitive requirements listed below are applicable to the Purchasing Agent job classification within Martin County Schools. Work in this classification is considered light physical work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.

Must be able to:

  • Prepare, read, and comprehend a variety of job-related forms, reports, spreadsheets, maps, plans, records, documentation, and correspondence in all languages required by the job.
  • Understand and conform to all rules of punctuation, grammar, diction, and style.

  • Use/interpret job-related terminology, mathematical formulas and functions effectively and efficiently.
  • Deal with people beyond giving and receiving instructions.
  • Perform under stress, deal with persons acting under stress, and adapt when confronted with emergency situations.
  • Be sensitive to cultural differences among individuals and groups of persons.
  • Operate/use a variety of automated office machines and other office equipment.
  • Operate/use a variety of printing/graphic arts machines.
  • Operate/use a variety of audiovisual/electronic machines and devices.
  • Operate/use a variety of communication machines/equipment/devices.
  • Operate/use a variety of job-specific machines/equipment.
