REGISTRAR
JOB DESCRIPTION

QUALIFICATIONS:
(1) High school diploma or equivalent.
(2) Minimum of two (2) years secretarial experience.
(3) Typing proficiency of 50 wpm.

KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of School Board policies, State Board of Education regulations, and policies of
Southern Association of Colleges and Schools policies as they pertain to job responsibilities.
Knowledge of basic office procedures. Ability to operate office equipment, particularly
computers. Knowledge of student database. Skill in analyzing computer data (input/output).
Ability to maintain accurate records. Ability to deal effectively and courteously with students,
parents, school personnel and the public. Ability to efficiently handle multiple tasks in stressful
situations. Ability to communicate orally and in writing. Ability to exercise good judgment
within established policies and procedures.

Administrator, Principal or designee

JOB GOAL
To ensure the quality, accuracy and timeliness of student data and records.

SUPERVISES:
N/A

PERFORMANCE RESPONSIBILITIES:

Service Delivery
* (1) Perform all aspects of student registration and related record keeping for all students on
a yearly basis.
* (2) Implement established registration policies and procedures to serve the needs of
students, faculty and administrators.
* (3) Ensure the accuracy, efficiency and integrity of student information.
* (4) Maintain records and reorganize volume increases.
* (5) Certify and prepare official student documents and transcripts as well as Social Security,
Learnfare, insurance documents and Bright Futures.
* (6) Evaluate transfer records (local and foreign) and work with guidance in resolving
student transfer problems.
* (7) Ensure that information requested from students, other educational institutions, etc. is
released to officially authorized sources only.
* (8) Maintain student cumulative files.
* (9) Assist in scholarship and Bright Futures preparations.
*(10) Track student post secondary plans.

*(11) Assist students seeking financial aid.
*(12) Manage student immunization and take appropriate action to ensure all students have
complied with state and local health regulations.
*(13) Prepare and order diplomas for graduation (high schools).
*(14) Maintain records for exit cards for graduating seniors (high schools).
*(15) Update records for Bright Futures, FCAT, SAT, and ACT.
Inter/Intra-Agency Communication and Delivery
*(16) Provide information and assistance on registration issues to students and faculty.
*(17) Exercise a service orientation when working with others.
*(18) Respond to inquiries and concerns in a timely manner.
*(19) Keep supervisor informed of potential problems or unusual events.
*(20) Serve on school or district committees as assigned.
*(21) Use effective, positive interpersonal communication skills.
*(22) Work closely with school staff to support school improvement initiatives and processes.
Professional Growth and Improvement
*(23) Maintain expertise in assigned areas to fulfill position goals and objectives.
*(24) Attend training sessions, conferences and workshops as assigned or appropriate to keep
abreast of current practices, programs, and legal issues.
*(25) Participate in cross-training activities as required.
Systemic Functions
*(26) Recommend policy and procedural changes related to registration and enrollment.
*(27) Prepare or assist in the preparation of all required reports and maintain all appropriate
records.
*(28) Follow federal and state laws, as well as School Board policies.
*(29) Represent the school and district in a positive and professional manner.
*(30) Demonstrate support for the school system and its goals and priorities.
*(31) Ensure adherence to good safety standards.
*(32) Assist in interpreting statutes, Department of Education rules, and programs, policies
and procedures of the district as they relate to assigned responsibilities.
(33) Perform other duties as assigned.
Leadership and Strategic Orientation
*(34) Set short- and long-term objectives for the Registrar’s office in an effort to automate office
processes and procedures.
*(35) Assist in implementing the district’s goals and strategic commitment.
*(36) Set high standards and expectations and promote professional growth for self and others.
*(37) Follow attendance, punctuality and other qualities of an appropriate work ethic.
*(38) Maintain confidentiality regarding school/workplace matters.
*(39) Demonstrate initiative in identifying potential problems or opportunities for
improvement and take appropriate action.

PHYSICAL REQUIREMENTS:
Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as
frequently as needed to move objects.
