Martin Concrete is Hiring a Contract Administrator Near Kennesaw, GA

A Contract Administrator’s responsibilities are to manage the drafting, revision, and execution of Martin Concrete’s sub-tier subcontracts on projects. The Contract Administrator will analyze and interpret a wide range of documentation and ensure compliance with subcontract terms and conditions. They are expected to maintain files for subcontracts containing original subcontracts, relevant correspondence, amendments, clarifications, business license(s), insurance certificates, and payment schedules. They are expected to clarify terms of subcontracts contracts with various vendors and/or subcontractors.

The Contract Administrator will monitor and maintain a system to ensure timely execution of client Contracts. They are responsible for establishing new project numbers and folders, and maintaining current overall company project, crane, and master crew work schedules.

To succeed in this role a Contract Administrator would be expected to detect errors and inconsistencies in subcontracts and obtain and comprehend laws and regulations pertaining to concrete construction business and contracting. The position requires an individual to be detail-oriented, accountable and a proficient multitasker.

Responsibilities

  • Collaborate with employees on all levels of the company to analyze and determine a comprehensive subcontract strategy.
  • Prepare and edit subcontracts between the company and potential subcontractors/vendors.
  • Participate with Executive level to standardize subcontract language and necessary guidelines for subcontracts.
  • Review subcontracts for compliance with language and guidelines.
  • Collaborate with internal procurement, accounting, legal and human resources teams to ensure subcontracts' compliance.
  • Share and clarify subcontract processes, conditions and details with management, employees, and necessary parties.
  • Obtain subcontract-related information from relevant parties.
  • Ensure relevant documentation accompany subcontracts and maintain digital and hard copies of relevant documentation.
  • Liaise between parties regarding subcontract development, and negotiations regarding terms and conditions, and drafting and revising changes as required.
  • Identifying and communicate potential risks subcontract changes may pose to company.
  • Maintain appropriate documentation related to breach of subcontracts.
  • Collaborate across company department to ensure subcontract pre-qualification has been obtained, documented, and recorded appropriately.
  • Collect, submit, verify compliance, and monitor expiration date of subcontractor insurance requirements.
  • Assist project management and finance departments to ensure proper subcontract pay applications are maintained and processed.
  • Assist project management with subcontract change orders and ensure proper documents are executed and maintained.
  • Create and maintain system to ensure timely execution of client contracts in timely manner consistent with company policies.
  • Communicate status updates of client contract and subcontract execution to project teams.
  • Collaborate across company departments to ensure company and subcontract compliance with CCIP/OCIP programs.
  • Assist project management to collect, process, distribute and maintain all contract warranty requirements and other contract close-out documentation.
  • Timely setup project folders and establish project number in CMiC.
  • Monitor Newly Awarded Forms and reduce exposure from material escalation.
  • Maintain overall company Project and Crane Schedules.
  • Maintain company Master Work Schedules.

This position reports directly to the Project Executive(s) with a dotted line of responsibility to the Director of Project Management.

Minimum Requirements

  • Bachelor’s degree in business administration, mathematics, accounting or economics, master's degree preferred.
  • 2 years of related experience.
  • Proficient knowledge of legal requirements pertaining to relevant contracts.
  • SAP experience preferred.
  • Proficient with MS Office Excel, Word, and PowerPoint.
  • Outstanding organizational skills.
  • Outstanding communication skills, both written and verbal.
  • Excellent reading and comprehension skills.
  • Proficient ability to detect errors and inconsistencies.
