Job Details

Position Summary:

MarshBerry is currently seeking an Administrative Services Team Lead for our Woodmere, OH office. The Administrative Services Team Lead provides high level support to business units by managing an independent workload and assisting with the distribution of the workflow of the Administrative Services Team. The Administrative Services Team Lead will oversee various administrative tasks, coordinate schedules, and facilitate communication within the team and across other business units. The Administrative Services Team Lead will also contribute to process improvement initiatives for the team.

Responsibilities:

  • Collaborates with the Administrative Services Manager to manage workflow within the Administrative Services team. Assists with gathering administrative support needs within the business units and ensures workload is distributed effectively.
  • Manages the Admin Desk and distributes tickets to team. Establishes guidelines and distribution methods to ensure tickets are distributed effectively. Reviews Admin Desk reports and analytics to identify opportunities to improve service and efficiency.
  • Provides high-level administrative support to leaders and business units as assigned or when providing back up coverage for team members. Performs key administrative support functions including scheduling, coordinating travel, interacting with clients, expense reports, contracts, document conversion, CRM updates, presentation creation, etc.
  • Identifies opportunities for training and coaching of Administrative Services Team members. Coordinates training as needed and ensures that procedures are documented and updated. Collaborates with the Administrative Services Manager to onboard and train new team members.
  • Assists in managing facilities needs for MarshBerry offices, helping to ensure standards and timelines are met while ensuring effective communication to colleagues, vendors or other parties involved to facilitate completion of projects.
  • Assist the Administrative Services Manager in crafting internal communications and presentations for staff meetings and other internal needs.
  • Create and maintain safety procedures and relevant documentation for all U.S. MarshBerry offices.
  • Serve as a cultural champion within the Administrative Services Team and in the organization. Participate in culture committees and coordinate activities and events as needed. Support team engagement activities within the Administrative Support team.
  • Identifies opportunities and implements initiatives to improve processes, often acting as the lead in execution.
  • Cross-trained to serve as backup for Administrative Services team members including that of the Administrative Services Manager.
  • Other projects and duties as assigned.

Selection CriteriaEducation & Experience:

  • High School diploma required; college degree is a plus.
  • Certification or advanced administrative training preferred.
  • 7 years of administrative or executive support experience, preferably in financial services, insurance, consulting, or related industries.

Other:

  • Proficient in Microsoft Word, Excel, PowerPoint, Access or similar database. Advanced knowledge of Microsoft Office especially Excel and PowerPoint is strongly preferred.
  • Demonstrated leadership experience managing department workflow and resources and establishing and maintaining systems and priorities.
  • Proactive problem-solving skills; ability to identify and resolve issues in a timely manner.
  • Strong written and verbal communication skills with demonstrated creativity about work. Excellent spelling, grammar, and phone skills.
  • Exceptional organizational skills; ability to use systematic methods to perform work and to recommend or create new work methods or procedures.
  • Confidentiality: maintains confidentiality with proprietary information and all internal and external communication.
  • Team-oriented: Positive and professional, able to show consideration for and maintain good working relations with coworkers. Remains opens to others’ ideas and exhibits a willingness to try new things.
  • Ability to multitask and complete projects and responsibilities with extreme attention to detail according to required timelines and deadlines.
  • Self-motivated: Self-starter with ability to prioritize make appropriate decisions. Ability to work overtime and flexible hours as needed.
  • Ability to lift up to 25 pounds.
