POSITION SUMMARY:

The Indexing Analyst will be responsible for identifying and profiling e-mails, faxes and scanned documents in accordance with established firm guidelines, completing quality checks of indexed documents, assisting in documentation of indexing guidelines to ensure consistency while maintaining a working knowledge of the firm’s intake/archive process and systems. 

SPECIFIC JOB DUTIES:

• Process documents from various points of entry at the firm.
• Appropriately label documents following the firm guidelines
• Complete routine quality control checks of indexed documents
• Compile, sort, and verify accuracy of data
• Identify exceptions and bring them to the attention of the Team Leader and/or Department Manager
• Work efficiently within a team environment to meet firm and department standards
• Perform other duties and projects as assigned

KNOWLEDGE, SKILLS AND ABILITIES:

• High School Diploma
• 1-2 years of data entry/indexing experience preferred.
• Prior law firm experience preferred
• Ability to maintain a high level of accuracy, superior attention to detail and strong organizational skills
• Ability to facilitate clear and concise communication with others in a positive manner
• Ability to work with others effectively in a team that encourages diversity of thought and innovation
• Ability to maintain a professional demeanor, exhibit sound judgment, maintain confidentiality and use discretion
• Ability to exhibit problem-solving skills and demonstrate initiative and accountability
• Ability to thrive in a dynamic fast paced environment with fluidity amidst multiple projects, shifting priorities and competing deadlines
• Ability to adapt and accept changes in job responsibilities based on the strategic goals of the firm
• Flexibility to adjust hours as necessary in order to satisfy the essential functions of the position
