Job Title: Extracurricular Activities Director
Reports to: Superintendent
Location: Marion City Schools
Position Type: Full-time Contract, 260 Days
Introduction:

The Extracurricular Activities Director, will lead the planning, development, and implementation of a diverse range of extracurricular programs and activities within our school district. The Extracurricular Activities Director will be responsible for creating a dynamic and enriching environment that fosters student engagement, growth, and development outside of the traditional classroom setting.
Qualifications and Skills:
  • Master's degree in education, sports management, counseling, student affairs, or related field (preferred).
  • Current State of Ohio Administrative Licensure (or ability to procure one based on this job description)
  • Proven experience in student affairs, program development, or related role, with demonstrated leadership and management skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Excellent interpersonal, communication, and collaboration skills.
  • Ability to inspire and motivate students and staff towards shared goals.
  • Proficiency in event planning, budget management, and project management.
  • Commitment to promoting diversity, equity, and inclusion in extracurricular programming.
Key Responsibilities:
  • Organizes and administers the overall program of interscholastic activities, intramural activities and athletics for the district K-12.
  • Supervises the extracurricular coordinators and consults with principals in matters relating to their extracurricular programs.
  • Communicates regularly with the High School, Middle School, and Elemetnary School administrative teams.
  • Provides leadership in the selection, assignment, and evaluation of athletic coaches and staff members for the district.
  • Responsible for the preparation of reports and materials that provide information regarding extracurricular activities, facilities, and attendance.
  • Develops and maintains job descriptions for supplemental assignments in coordination with the HR Department.
  • Ensures that extracurricular coaches and advisors have the appropriate training certification and maintains a record of the same; scheduling staff attendance at scheduled training sessions as needed.
  • Assumes responsibility for the organization and scheduling of all extracurricular/co-curricular activities and athletic events for the district in coordination with the extracurricular coordinators.
  • Works in conjunction with department coordinators to hire officials, police and auxiliary help, as required, and assumes general responsibility for the proper supervision of all home contests/events for the elementary, middle, and high schools.
  • Arranges transportation for K-12 extracurricular activity participants.
  • Arranges provisions for meals for students when appropriate.
  • Develops and places into operation through appropriate channels, rules and regulations governing student conduct for all extracurricular activities and enforces the same, including revisions, hearings, parental conferences and student discipline.
  • Determines extracurricular eligibility of all students. Maintains student athletes completed doctor physical reports.
  • Provides a weekly activity calendar for events for staff members and media.
  • Provides for the physical examination of all 7-12 grade athletes prior to the beginning of each season (as required) through a cooperative effort with the school doctor, nurse or athletic trainer. (Physicals typically coordinated with Ohio Health once a year - summer).
  • Prepares and administers the athletic program and extracurricular budgets, grades K-12. Prepares an annual financial report in coordination with the district treasurer for the Board of Education.
  • Submits requisitions, in cooperation with appropriate staff members, supplies, uniforms and equipment for the extracurricular programs. Supervises the cleaning, storage and care of all athletic equipment.
  • Supervises all ticket sales, program sales, and fund-raising events connected with the athletic program and assumes responsibility for proper handling and accounting of monies involved per District policy and ensures that financial safeguards are being utilized with regularity and fidelity. (In conjunction with each coordinator at the age group level).
  • Arranges all details of visiting teams' needs as appropriate. Makes all necessary arrangements for the use of non-school playing fields and facilities.
  • Arranges the practice schedules for the coaches and advisors on the fields, pool, gymnasiums and other facilities.
  • Works with the Operations Director relative to the maintenance and repair of all athletic facilities.
  • Keeps records of the results of all high school athletic contests, and maintains a record file of all award winners.
  • Makes all necessary arrangements for medical coverage of athletic events.
  • Facilitates in the planning of and supervision for the annual recognition programs for extracurricular activities and athletics at the high school level. Acts as chariman of the Hall of Fame Committee and provides leadership in planning the induction banquet.
  • Acts as the school representative at all league and Booster Club meetings when appropriate.
  • Responsible for the evaluation of all head coaches and each extracurricular coordinator. Evaluates department secretary at the high school and coordinates the evaluation of the second secretary.
  • Assumes any additional duties and responsibilities as may be assigned by the Superintendent or their designee.
Specific Duties:
  • Supervises and coordinates all district athletic and extracurricular programming in grades K-12.
  • Acts as a point of contact for facility use.
  • Convenes a committee of elementary, middle, and high school principals in addition to the extracurricular department of coordinators and secretaries.
  • Leads the development of and maintains a district-wide extracurricular handbook.
  • Sets district-wide presentation templates for pre-season meetings.
  • Develops end-of-season surveys of families and students and provides data analysis and recommendations to building and district administrators.
  • Develops professional learning experiences for coaches and advisors based on needs assessment.
  • Coordinates partnership with district's athletic trainers.
  • Supervises all athletic and extracurricular funds and coordinates funding requests to the Treasurer's Office.
  • Reviews extracurricular and athletic programs for compliance with current law and regulations including related OHSAA bylaws and NFHS guidelines.
Additional Requirements:
  • Flexible schedule, including availability for evening and weekend events.
  • Knowledge of current trends and best practices in student engagement and extracurricular programming.
  • Ability to thrive in a fast-paced, dynamic environment and adapt to changing needs and priorities.
  • Ability to become certified to drive the district van and willingness to fulfill that requirement as needed for various events.
