Mansfield Oil is Hiring a Senior Collections Specialist - Hybrid Work Available Near Gainesville, GA

The Sr. Collections Specialist is responsible for minimizing risk to the company by resolving past due balances and making decisions to release or hold product and/or services based upon the parameters set forth by the Collections or Credit management teams. Additional responsibilities include reporting results to the company and management teams and serving as a team lead and corporate liaison with other departments within the company.

Responsibilities

Past Due Balance Management and Reporting

  • Ownership of front-line collections, contacting customers regarding debit and credit balances beyond the due date
  • Transmit any documentation that is needed to resolve past due balances
  • Log all collection activity and relevant comments into the accounting system
  • Provide weekly reporting (metrics recorded) for balances 1 day past due and greater
  • Ensure that reporting is accurate and detailed
  • Investigate historical data for resolution of over and short payments, disputed items, and unapplied payments, working with other internal departments when needed
  • Communicate with internal customers to investigate and resolve balances
  • Communicate potential inability to fuel (due to credit restrictions) to all internal customers including Sales, Operations, and Dispatch
  • Proactively seek solutions impacting risk and/or the customer’s ability to receive fuel

Data Analysis

  • Possess analytical skills to assimilate information making sound business decisions quickly and accurately
  • Utilize all systems and programs to analyze data, and report results
  • Possess extensive knowledge of accounting and ERP systems with the ability to determine root cause analysis and solve internal, set-up, contract, or billing issues. 
  • Possess an extensive understanding of credit files, security options, insured accounts and processes, and bad debt escalation processes 
  • Advise the Credit team of any needed increases in limits (if possible and account is current) to prevent balances from exceeding limits
  • Advise management of any concerns regarding potential cash flow issues 
  • Understand when to enlist management and sales to escalate the collection process and prevent holds

Customer Service & Negotiation 

  • Strive to maintain excellent customer relations through professional conduct
  • Notify internal customers of any accounts with ongoing issues leading to potential risk or credit hold status
  • Always communicate promptly and clearly with respect and courtesy, both verbally and written, with correct grammatical usage

Senior Responsibilities 

  • Possess the ability to lead team meetings
  • Work with internal teams to test new processes, systems, and product upgrades
  • Backup Collections Supervisor as needed
  • Organize and execute new employee training and onboarding
  • Serve as system lead for collections team and subject matter expert on operations and accounting systems
  • Possess the ability to define and execute process improvement, and efficiency opportunities 
  • Work with other teams to remedy less than desirable results and ongoing concerns, both functionally and relationally
  • Identify root cause of issues and work across all product lines and management teams to develop processes that correct and resolve
  • Plan and execute meetings to resolve issues with high profile accounts and issues, preventing significant impact to metrics
  • Possess advanced Excel skills including pivot tables, lookups, graphs, charts and ability to dissect data in Power BI.

Position Requirements

Formal Education & Certification

  • High School diploma or equivalency required

Knowledge & Experience

  • Must have strong written and verbal communications in English
  • Proficiency in Microsoft Office Suite 
  • Strong data entry skills 
  • Three years minimum of business-to-business collections experience, more preferred, or industry experience
  • Possess advanced Excel skills including pivot tables, lookups, graphs, charts and ability to dissect data in Power BI.

  • Hybrid Work environment available once training is completed (3 days in office, 2 days remote)
