POSITION SUMMARY

This is a blended position that assists pharmacists with medication and pharmaceutical supplies inventory and inspections, including maintaining records of such. Receives and processes medications orders, restocks and maintains inventory in the PickPoint machines and the over-the-counter floor stock. Maintains pharmacy spaces in orderly manner and manages patient pick up of their medications.

They also perform administrative services for the daily clinic operations including data entry, filing, scheduling and arranging travel. Communicates, assists, and refers as necessary to ensure quality health care to patients is being provided. Assists with administrative requests from MHC, City Offices and/or IRAs, and maintains office supplies. As initial contact, uses positive attitude to represent the Village Clinic. Complies with state and regulatory agency requirements. Maintains strict confidentiality in regards to patient information received. Under no circumstances will a Medication Technician dispense any medication without patient specific labels. This position reports directly to the Clinic Supervisor.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Medication Technician:

Under the clinical direction of a licensed Pharmacist and/or direct supervision of a certified Session II CHA/P or above:

1. On a regularly scheduled basis inspects all locations where drugs are stored. Check all items for current dating and replenishes drugs and supplies to par levels. Maintain records of all inspections.
2. Routinely communicates with village health aides for clarification or problems with orders.
3. Performs a variety of drug packaging and labeling dates.
4. Communicates with physicians, nurses, CHAPs and other personnel regarding drug availability and dosage forms.
5. Performs regular inventories and prepares drug and supply orders. Receives, unpacks, and properly stores drug supplies. Rotates inventory to insure current dating. Removes outdated drugs and packages them for return.
6. Maintains pharmacy and drug storage areas in a clean and orderly manner. Cleans utensils, glassware, counters and sinks as needed. Maintains storage shelves in an orderly manner.
7. Manage over-the-counter medication, document in the daily medical log as these medications are dispensed, and reorder monthly.
8. Manage Chronic Medication List and keep up to date. Document in the Daily medical log every time medication is ordered or dispensed.
9. Assists Pharmacists and/or providers with pill counts.
10. Maintain narcotic pick up log and dispense medicine when they are due.
11. Manage PickPoint machine inventory, following the PickPoint barcode-proof protocol for any loading, unloading, and dispensing.
12. Send medication refill requests to appropriate staff.
13. Utilizes and maintains SQSS for data entry regarding medications and refrigerator temperatures.

Administrative Assistant:

1. Practices excellent customer service at the front desk greeting patients, answering phone calls, taking messages, and delivering messages to CHA/Ps.
2. Files all correspondence, reports, forms, and patient charts in accurate location and in an orderly fashion within established timeframes.
3. Enters data from the patient registration form to maintain current patient information, and ensuring all consent forms are signed and in place prior to visit.
4. Enters appointments into CHA/Ps schedules in villages and notifies patients for appointments.
5. Pulls all charts as requested by CHA/Ps or appropriate personnel.
6. Maintains clinic records and establishes/updates filing systems to ensure the expeditious retrieval of information.
7. Notifies and arranges patient travel for Specialty Clinic, Outpatient, Women’s Health and Dental appointments.
8. Assists clients with correspondence and enrollment applications for Women, Infant & Children and Medicaid services.
9. Arranges Medicaid travel for patients/clients seeking health care services outside their community according to Maniilaq travel policies and procedures. Contacts VCC prior to authorizations in Anchorage for patients that are Medicaid eligible.
10. Verifies eligibility through appropriate channels.
11. Completes travel authorizations ensuring that airlines receive the appropriate copy.
12. At times, works beyond normal business hours to arrange travel for emergent patients needing higher levels of care.
13. Announces and posts health clinic job vacancies every week through posting in public places, VHF announcements, social media, and word of mouth.
14. Maintains on-call calendar and keeps track of staffing, visiting providers, and other health services provided at the clinic.
15. Performs other job-related duties as assigned by Clinic Supervisor.
Job Qualifications:

MINIMUM REQUIREMENTS

Medication Technician /Administrative Assistant I:

High school diploma or equivalent. College level course work in chemistry to medical related disciplines preferred. Must begin the process of obtaining a pharmacy technician license from the State of Alaska within 3 months of hire date. Must be able to successfully pass the State of Alaska background check for licensing requirement. Ability to make accurate measurements and conversions from the English Metric measurement systems. Ability to communicate effectively with a variety of healthcare professionals. Physical ability to lift up to 40 lbs., stand for prolong periods of time. Needs to be familiar and proficient with the use of computers. Must be able to type well enough to carry out essential job duties. Experience in creating and maintain filing systems. Ability to deal with people in a friendly and respectful manner both in person and on the telephone. Medical terminology or other health-related background desirable.

Medication Technician / Administrative Assistant II:

Qualifications of a Medication Technician/Administrative Assistant I. Must have at least 6 months experience as a Medication Technician and at least 6 months in clerical work experience that includes use of Electronic Health Records, issuing travel requisitions, creating and maintaining filing systems and performing data entry. Experience in a clinical setting and familiar with medical terminology is required. Willingness to attend job related training and education programs. Must be willing to be on-call in times of declared disasters.

Medication Technician / Administrative Assistant III:

Qualifications of a Medication Technician/Administrative Assistant II. Must obtain a Pharmacy Technician License from the State of Alaska before beginning work. Must have Pharmacy Technician Certification Board (PTCB) Certified Pharmacy Technician (CPhT).
