JOB DESCRIPTION | ASSISTANT COMMUNITY MANAGER 

Title: Assistant Community Manager 

Reports to: District Manager

Position Purpose:

The Assistant Community Manager purpose is to support and work with the District Manager to ensure the overall operational success of the residential property and exceed Madison Parke’s Standard of Service as it relates to resident and customer satisfaction. They will assist with the management and development of other team members for personal and professional growth and ensure high employee job satisfaction. The Assistant Community Manager performs a variety of highly responsible managerial and administrative duties in direct cooperation with the District Manager in all aspects related to the operation of the building and in support of the Boards of Directors and committees.

JOB DUTIES:

Financial:

(1) Works in concert with the Association’s bookkeeper to prepare budget proposals for staffing, equipment, supplies, contractual services and capital replacements and enhancements. This preparation to be made in consultation with the District Manager

(2) Takes a lead role in the presentation of the proposed fiscal year budget to the Budget & Investment Committee.

(3) Works with the bookkeeper and other department managers to monitor budget expenditures throughout the year to assure that they do not exceed the approved levels and to obtain approval from the District Manager and/or the Board of Directors prior to exceeding approved levels for budget expenditures.

(4) The Assistant Manager supervises closely the collection of delinquent accounts, prepares reports for the Board and represents the Association in small claims court.

Staffing and Human Relations:

(1) The Assistant Manager is responsible for the direct supervision of the administrative support staff of the Community (Front Desk Attendants, HandyPorters and the Maintenance Team) and performs periodic written reviews for these positions in collaboration with the District Manager and the Human Resources Department.

(2) Work with the General Manager and other Management Team members in creating and maintaining a positive work environment. The Assistant Manager must at all times lead by example, providing professional, friendly and exceptional service to the members of the community.

(3) Works closely with other Management Team members (Disrict Manager, Maintenance Manager) to assure that all functions integrate smoothly.

(4) Ensures proper staff coverage at all times.

Board, Committee and Homeowner Support:

(1) The Assistant Manager assists the District Manager in preparing for meetings, and, as requested, attends meetings, takes and distributes minutes and see that action items are accomplished in a timely manner and implements decision made by the Board or committee.

(2) Assists the Committee Chairs and committees in any way possible in order to assure that the committee system is a productive part of the Association.

(3) Act as the Management liaison to provide ongoing communication with the Committees.

Communications:

(1) Together with the District Manager, solicits, writes and edits notices or announcements for the Community,

(2) Assists with keeping website material current and fresh.

Other Duties

(1) Assists the District Manager by taking on assignments in order to achieve the overall goals and objectives of the Association.

(2) Other duties as assigned by the District Manager.

Accountability:

The Assistant Manager will be reviewed on the following performance parameters:

(1) Relationship with membership, Board and committee members, staff members, attitude and

ability to instill trust and confidence.

(2) Knowledge of position and application.

(3) Training and development of self and subordinates.

(4) The following performance skills: analytical, problem solving, decision making, planning, organizational, financial management, leadership, initiative and creativity, communication and execution.

Requirements

Qualifications and Skills

The Assistant Manager must have a good working knowledge of general management, procedures, community association law, familiar with current personnel practices and labor law, and a strong financial background. The ability to converse clearly in public and write effectively, and the skill to meet with Association members or the public in regards to community-related subjects. Must be computer literate and must be capable of using advanced word processing programs, spreadsheet and database programs. Graduation from an accredited college or university is desirable. Meet educational standards as are periodically established by the Board of Directors and/or the District Manager. 

Special Personal Characteristics

(1) Must be able to qualify for a fidelity bond.

(2) Must be insurable on Association owned vehicles.

(3) Desire and ability to assist and work with the general public.
