Currently, we are seeking a dynamic Office Manager to join our esteemed company, located in Deerfield Beach Florida.

The Onsite Office Manager will play a pivotal role in ensuring the smooth operation of our office and administrative functions.

This individual will be responsible for managing day-to-day office activities, handling invoicing processes using Oracle software, and providing administrative support to various departments.

Responsibilities :

  • Manage all aspects of office operations, including invoicing customers, coordinating customer shipments, office supplies procurement, and customer relations.
  • Overseeing Warehouse and coordinating the incoming and outgoing shipments containers accordingly.
  • Oversee reception duties, including answering phones, greeting visitors, and directing inquiries to the appropriate personnel.
  • Process customer invoices accurately and in a timely manner using Oracle software. (Important), Also managing customer account limits and making decisions to proceed with order or not.
  • Collaborate with the accounting department to reconcile billing discrepancies and ensure accurate financial records.
  • Assist with accounts receivable and accounts payable functions as needed.
  • Maintain and organize office files, documents, and records in both physical and electronic formats.
  • Support various departments with administrative tasks, including data entry, report generation, and correspondence drafting.
  • Handle confidential information with discretion and maintain a high level of professionalism at all times.

Qualifications :

  • Bachelor's degree in Business Administration, Accounting, or related field preferred.
  • Minimum of 3 years of experience in office management or administrative role.
  • Proficiency in using Oracle or similar ERP software is required.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.
  • Excellent attention to detail and accuracy in data entry and record-keeping.
  • Strong interpersonal and communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently with minimal supervision and as part of a team.
  • Arabic or Turkish or Armenian Language is a bonus.
