Position Title: Sales Administrator
Reports To: President & C.O.O.
Location: University Park, IL (On-Site)

GENERAL SUMMARY
MAC Wholesale is an industry leading distributor of closeouts and excess inventory. We are seeking a dynamic and organized Sales Administrator to join our team and provide essential support to our sales department. The ideal candidate will be a proactive and detail-oriented individual with excellent communication skills. As our Sales Administrator, you will play a vital role in supporting our sales team and customers with various administrative tasks essential to their success. You will work closely with our sales representatives to streamline
processes, maintain accurate records, and ensure the efficient execution of sales activities. Your efforts will directly impact our ability to meet sales targets, drive revenue growth, impact seasonal inventory turn, and enhance overall sales performance.

ESSENTIAL JOB FUNCTIONS
● Manages inventory sell sheets on company shared drive (Google Drive) and CRM system (HubSpot).
Uploads, edits, combines, and deletes sell sheets throughout the sales lifecycle. Collaborates with marketing team to facilitate edits when required.
● Audits inventory sell sheets on an ongoing basis for discrepancies based on NetSuite’s inventory availability reports. Researches and resolves inventory discrepancies. Collaborates with Inventory Control and Marketing Teams when required.
● Manages inventory showroom for use with in-person and virtual customer meetings. Updates showroom on an on-going basis for adding new inventory and removing sold out inventory.
● Hosts virtual customer meetings with sales team in showroom. Collaborates with Marketing Team when required.
● Provides guidance to the sales team regarding customer order history and category interests. Calls attention to aged inventory and redistributes sell sheets to sales team as required. Monitors seasonal inventory and strategically promotes seasonal inventory based on retail buying requirements.
● Manages customer sample request fulfillment between sales team and warehouse.
● Uploads customer orders to NetSuite when required.
● Assists marketing team with preparation for sales tradeshows.
● Maintains active sales account list and ensures company HubSpot data is up to date for existing sales accounts.
● Manages the sell-through of small quantity inventory leftovers through approved liquidation channels.
● Responds to and prospects new customer inquiries.
● Manages outbound email program for end-of-life inventory opportunities to approved accounts.
● Assists President & COO with sales related planning, reporting, and tasks as needed.

Qualifications
● Excellent verbal and written communication skills.
● Proficiency in Microsoft Excel and Office Suite.
● Experience with NetSuite preferred but not required.
● Experience with CRM systems, such as HubSpot.
● Strong organizational and time management skills.
● Excellent communication and interpersonal skills.
● Ability to work effectively both independently and as part of a team.
