We are driven by our core values of agility, expertise, and trust.We are seeking a skilled Program Support Specialist who will be responsible for monitoring the overall program aspects of the Security & Electronics Systems (SES) business unit from the conceptualization to the final execution and provide support for the executive leaders of SES. The role requires the Program Support Specialist to process documents and assist the SES executive leadership team in coordinating with other organizations for business unit and program plans. The selected individual must have excellent communication and organizational skills, especially in coordinating and administering tasks for the SES executive leaders as well as handling the program objectives and ensuring performance satisfaction.

As an individual contributor, the Program Support Specialist will provide personalized assistance, ensuring smooth operations and effective communication.We require someone who is proactive, detail-oriented, and possesses exceptional organizational and communication skills.

Responsibilities:

  • Manage the executive’s calendar to include scheduling appointments and prioritizing the most sensitive matters.
  • Coordination of meetings and ongoing division wide initiatives to include project kick offs, reports, and deliverables from operations to keep scheduling and milestones up to date.
  • Assist the Executive team in preparation of monthly and quarterly project reports by producing summary reports and status of division wide initiatives.
  • Maintain and track comprehensive documentation utilizing project management trackers.
  • Manage travel arrangements and expense reports.
  • Handle coordination of efforts between various support groups.
  • Support division wide event planning and scheduling such as lunch and learns, monthly social activities, annual off-site events, etc.
  • Develop and implement standard procedures and ensures proper tracking and documentation of program related tasks.
  • Alert the executive team to issues that may arise.
  • Implements other management functions as requested by the Executive Team.

Qualifications:

  • 8 years of experience with a High School Diploma / GED
  • Experience in professional writing, editing, and document production required.
  • Excellent organizational skills and ability to work well under pressure, managing numerous interruptions.
  • Accuracy and attention to detail.
  • Ability to work independently and resolve practical problems.
  • Must be an effective communicator with excellent written and oral communication skills.
  • Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone and in writing.
  • Must have strong multitasking skills.
  • Must have strong computer skills in word processing, spreadsheets, databases, and interaction with customer portals and advanced knowledge of MS Office Suite (Word, PPT, Excel, Outlook).

Preferred Qualifications:

  • Smartsheet, Microsoft SharePoint, Salesforce
  • Adobe software, including Acrobat Professional, Creative Suite
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
