This is a key role responsible for coordination, task management, and tracking throughout all phases of multiple construction/design projects, from planning and design to construction and completion. Assists both the Development Director and Design/Construction Lead in site analysis, preparing early stage LOI documents, Lease administration, soliciting proposals, executing purchase orders, facilities licensing and permitting, and assists with construction bids and contracting processes.

Essential Responsibilities

  • Assists with preparation of site analytic reports and presentation documents.
  • Oversees the coordination and tracking of lease renewals, estoppels, and lease amendments.
  • Assists with all property management-related issues.
  • Works with various stakeholders to update all portfolio reports.
  • Assists development director in preparing tour books of recommended sites for new locations and potential relocations utilizing geographic and demographic analysis.
  • Assists with preparation of site analytic reports and presentation documents.
  • Schedule kick-off calls for new projects.
  • Works closely with existing market research tools to perform site/market analysis.
  • Assists in tracking and managing performance goals and budgets.
  • Assists in preparing and updating pipeline and deal tracking reports.
  • Engages in researching and analyzing new and existing submarkets through broker networks, new market surveys, and visits.
  • Conducts office administrative support functions, preparing independent correspondence, and responding to all site inquiries.
  • Completes ABC application and submits to the appropriate jurisdiction.
  • Manage material and equipment procurement – including Requests for Proposals, issuance of Purchase Orders and tracking of material from Distributor to destination. Coordinates with contractors and end users to ensure condition and delivery.
  • Monitor contracts, and process billing, through the issuance of purchase orders to support project closeout.
  • Take part in meetings to stay current with scope and timelines.
  • Responsible for upkeep of multiple project budgets – includes assisting the Construction Manager in developing budgets, inputting invoices and associated costs as incurred, and providing regular executive summaries.
  • Assists in establishing utility accounts for New Construction projects – coordinates with Project Manager(s), MEP consultants, Architects, and local jurisdictions to complete and submit utility applications. Works with General Contractor to ensure delivery of utilities.

Knowledge, Skills and Abilities

  • Must have a basic working knowledge of commercial real estate and development process. Restaurant experience is preferred.
  • Must be organized, diligent and tenacious in executing tasks.
  • Must be self-sufficient - able to multi-task, delegate and follow up autonomously.
  • Must be able to interpret subcontract scopes of work and help negotiate revisions, changes and additions to contractual agreements with architects, consultants, clients, suppliers and subcontractors.
  • Must be able to aid in preparing and submitting budget documents and progress cost tracking reports.
  • Proficient in Microsoft Project, Excel and Word, aptitude/willingness to learn other management software programs, including Bluebeam, AutoCAD LT
  • Excellent communication skills, written and oral; comfortable communicating key data, including presentations to senior management.
  • Strong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analysis.
  • High level of integrity and dependability with a strong sense of urgency and results-orientation.

Education/Experience Required

  • Minimum of 3 years’ experience in an administrative support role, preferably in a design, development, and/or construction setting.
  • Bachelor’s Degree highly preferable.

Job Type: Full-time

Pay: $60,000.00 - $85,000.00 per year
