JOB RESPONSIBILITIES:

Job Duties in Order ofImportance

Providescustomerservicetoclientstosupportcaseworkstaffby determining the type of assistance or information needed: receives and greets clients into the agency; conducts search of computerized records to verify, locate, identify and document the status of basic information using CLRC; provides information about status of assistance and/or services; explains application procedures, client responsibilities and distributes forms as needed; answers basic questions that do not require an in-depth knowledge of federal, state and local laws rules and regulations regarding agency programs and services; coordinates the transfer of correspondence between recipient and the appropriate agency worker; accepts client changes and notifies worker of changes or updates systems; makes referrals to other agencies or providers; schedules appointments as required; determines eligibility by interviewing clients and completing paper work or makes arrangements for some restricted program areas, such as PRC, transportation, community services (i.e. housing, food, clothing); obtains client's statement of need; completes application registration and statewide clearance; reviews data matches; directly assists in specific program application process (including identifying reapplications due, reviewing returned applications, determining verifications that are needed, helping clients obtain necessary documents and providing follow-up contact when needed) such as DOU.

Maintains agency systems: monitors, creates and logs information either manually or by computer; handles incoming documents received by the agency's document center to include date stamping; ensures that information is scanned to the OnBase system and is done in a timely and accurate manner using the standard document imaging procedures; prepares packets; performs clerical tasks related to maintenance of case records; writes receipts on items received by recipients.

Other duties as assigned: maintains program, CRISE and SETS knowledge needed to assist callers and walk-in clients; participates in workshops, conferences, meetings or training sessions, as required; updates manuals; maintains a working knowledge of agency policies, manual regulations, and community resources; performs other related duties inherent to this position and/or classification assigned.

Minimum Acceptable Characteristics

Knowledge: public/human relations; office practices & procedures; agency policies & procedures; interviewing; budgeting; typing/keyboarding; basic information on agency programs & services; computer operation; office equipment.

Skills: office equipment [calculator, computer, telephone, copy machine, fax, right fax and scanner]; current computer operating systems & software applications; word processing; organization; oral & written communication.

Abilities: Carry out detailed written or oral instruction; deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; define problems, collect data, establish facts and draw valid conclusions; perform intermediate mathematical calculations; perform a full range of clerical assignments; complete routine forms; maintain accurate records; photocopy/scan documents; update information in files; file material according to established procedures; determine clients need for services; understand manuals and verbal instructions, technical in nature; cooperate with co-workers on group projects; answer routine telephone inquiries from public; listen for problems & provide response or explanation; type correspondence & reports; perform computer operations including state and agency applications [entering data, keyboarding].

Minimum Qualifications:

  1. High school graduate or equivalent; AND
  2. Six (6) months experience in customer services; AND
  3. One of the following:
    • One course in data entry; or
    • One month experience in data entry; or
    • Successful completion of the county’s data entry skills assessment
