Fleet Assistant Representative
The Fleet Representative is responsible for providing customer service for all direct LTA fleet customers not working through the LTA dealer base. This position will work with fleet leasing companies, fleet up-fitters and fleet related end users, providing product and service information, writing quotes, resolving product and service issues and processing customer orders, changes and returns according to established department policies and procedures, as well as building customer relations via incoming and outgoing calls. This position will report to the Fleet & Customer Service Manager.

Essential Functions:
· This person is responsible for the sales process from initial proposal to invoicing.
· Answers incoming calls greets customers and ascertains situation or reason for calling.
· Communicates via email and telephone with fleet related customers.
· Receives and processes customer orders, returns or exchanges utilizing the organization’s internal ERP system and customer purchase orders.
· Verifies the accuracy of customer orders utilizing the organization’s internal ERP system and order confirmation process. Accuracy is extremely important.
· Communicates information regarding shipments to fleet customers.
· Assists the fleet sales team in writing quotes for fleet customers.
· Keeps accurate records of all customer quotes and purchase orders.
· Accesses the company’s internal systems to obtain and extract orders and scheduling information to provide customer service management.
· Resolves customer complaints via phone or email.
· Resolves product or service issues by clarifying the customer's complaint, determining the cause, providing the best solution to solve the problem, expediting correction, and following up to ensure resolution.
· Provides timely feedback to the company regarding service failures or customer concerns.
· Partners with fleet sales team to meet and exceed customer expectations.
· Participates and provides expertise as a member of the customer service team. The team’s objectives are to develop and improve existing methods and systems to increase the accuracy, efficiency, and responsiveness of the customer service department as a whole.
· Will function with roles that align with LTA’s CSR.
· Other duties as assigned.
Employee Expectations:
Punctuality – Be on time. Work hours are set by the plant location, lunch is 30mins up to 1 hour, and breaks are twice a day; one morning and one afternoon and are 10 minutes long. Otherwise, you are expected to be at your workstation.
Personal cell phones are to be used only during breaks or lunches.
Teamwork – Be initiative-taking. When you have free time, help others with their work or ask for additional tasks. All orders and parts tickets must be entered by the end of the day.
Cheerful Outlook – Always keep a positive attitude.
Physical Demands:
The employee is regularly required to sit; use hands and fingers, handle or feel objects, talk, hear, and see. The employee must occasionally lift and/or move up to 20 pounds, stand, walk, climb, balance, stoop, kneel, crouch, crawl, or reach with hands and arms. The environment is fast paced; time pressured and requires accuracy. The employee will regularly multi-task between projects, be required to move throughout the building, and effectively communicate.
