Loyola University New Orleans is Hiring a Practicum Coordinator - Nursing Near Orleans, LA

The primary responsibility of this position is to secure, and maintain, clinical sites for the undergraduate and graduate nursing programs and students within the School of Nursing (SON). Responsible for ensuring SON meets all state board of nursing requirements as they relate to clinical practicum experiences. Works closely with the Office of the General Counsel to process affiliation agreements and manage affiliation agreement compliance. Guide and assist students in securing clinical sites. Practicum Policy, Procedure, and Reporting Requirements 
  • Responsible for reviewing and recommending any needed changes regarding SON practicum policy and procedures as it relates to compliance with university policy and external agencies (including, but not limited to, State Boards of Nursing, Affiliation Agreements, Grant Agreements, NC-SARA Reciprocity Agreement, and CCNE Accreditation Standards). 
  • Works with the SON Accreditation Coordinator as requested, in matters of compliance with local, state, and national regulatory bodies. 
  • Manages requests for information from both faculty and students, related to practicum, including internal requests and external reporting. 
  • Responds promptly (within 48 business hours whenever possible) to all faculty, staff, student and external organization queries related to clinical placements and student compliance. 
  • Obtains data as requested for grant application/compliance. 
State Board of Nursing Authorization Compliance 
  • Manages communication with State Boards of Nursing on behalf of the School of Nursing as it relates to student compliance. 
  • Maintains database of information and documentation related to practicum and compliance issues with oversight of the Accreditation Coordinator. 
  • Maintains up to date electronic records of Boards of Nursing compliance documents for student practicum experiences. 
  • Completes State Board of Nursing forms, both inside of and external to Louisiana, as required for student clinical experiences as well as verification of clinical hours postgraduation. 
Affiliation Agreements 
  • Recruits and facilitates initiating affiliation agreement (AA) process via phone/email/in person when necessary (e.g., meet with facility point of contact, pick up signed AA’s). 
  • Ensures tracking of additional site requirements and School of Nursing compliance with all requirements. Careful attention given to those student clinical experiences with unique requirements due to language in affiliation agreements. 
  • Updates database of all clinical practicum agreements and initiates renewal process for those close to expiration. 
  • Maintains relationships with affiliated institutions and secures clinical sites. 
Practicum Application Processing: (Please Note: This process will vary between undergraduate and graduate nursing students) 
  • Responsible for overseeing documentation of student compliance such as: 
    •  any positive student drug screen results, failed background checks, or questions about immunization documents including waivers (clear issue with SON director) updated 1.31.24 
    • reporting any positive drug screen results to both the Program Director and the SON director
  • Exxat/Prism responsibilities include:
    • updating preceptor and site information 
    • ii. monitoring compliance for all nursing programs 
    • iii. review/approve site/preceptor placement requests for online programs (online graduate nursing) 
    • iv. confirming student and faculty compliance with additional site requirements. 
  • Prepares students for the practicum experience via clinical practicum orientation materials (updated annually), including video orientation every semester. 
  • Emails alumni annually to recruit/assist with precepting students. 
  • Identifies any requirements related to placement of online students in clinical practicum sites in each state. Advises students of state requirements in advance of their practicum experiences and monitors compliance. 
  • Mediates any clinical site issues as they arise, only as they apply to the clinical site contract. Issues pertaining to the student or preceptor should be immediately elevated to the appropriate faculty/Program Director. 
  • Manages student evaluations of preceptors and practicum sites in the evaluation management system and reports results back to appropriate Program Directors (graduate or undergraduate). Does not include faculty evaluations of students, nor preceptor evaluations of students, which are to be handled by the course faculty. 
  • Enters students into clinical placement databases as required by affiliate health systems (ex. InPlace, Acemapp, My Clinical Exchange etc.).
On-Campus UG clinicals 
  • Coordinates clinical experiences for on-campus students as requested by UG Program Director. This includes managing any site required database, including InPlace placement system for all Ochsner locations for undergraduate students as well as any other database other health systems may employ. 
  • Coordinate undergraduate external clinicals with Program Director oversight. This includes managing the scheduling, monitoring and collecting compliance documents, uploading to Inplace, and coordinating with site contacts. 
  • Works with UG Program Director to facilitate both in person and online open houses. 
Clinical Site Compliance 
  • Maintains relationships with affiliated institutions and secures clinical sites. 
  • Mediates any clinical site issues as they arise, only as they apply to the clinical site contract. Issues pertaining to the student or preceptor should be immediately elevated to the appropriate faculty/Program Director. 
  • Maintains database of faculty licensure compliance. 
  • Ensures faculty documentation of compliance with board of nursing, CCNE accreditation standards, and clinical affiliation agreements. 
  • Responds promptly (within 48 business hours, excluding weekends) to all student and faculty questions related to clinical placement. 
Additional Responsibilities: 
  • Other duties, as assigned by the Dean of the College of Nursing and Health, Director of the School of Nursing, Undergraduate and Graduate Nursing Director, and Program Directors.
Required Education, Experience, Skills and Abilities: 
  • Minimum of Bachelor of Science in nursing, public health, or related field. Nursing background strongly preferred. 
  • Must possess strong written and oral communication skills. Ability to use electronic software (i.e. Microsoft Word and Excel), and learn new electronic systems. Experience in database management. 
  • Excellent computer based organizational skills including creating and improving organizational systems with multiple variables (e.g., maintain accurate and detailed reports and records). 
  • Excellent public relations skills including ability to reach out to appropriate sources to get the resources or find information needed to be successful, using proper etiquette both electronic and interpersonally. 
  • Strong professional communication skills, calmly working with people expressing frustration, remaining flexible and effective during unexpected situations or changing conditions. 
  • Ability to develop and maintain excellent working relationships with multiple coordinators/nurses at many institutions. 
  • Ability to keep updated records and attend to details amidst changing institutional environments. 
  • Exhibits a high level of dedication by following through with commitment, in a reliable and communicative manner. 
  • Takes the initiative to solve or improve problems and situations proactively without needing supervision or with minimal prompting. 
  • Manages time to accomplish tasks efficiently and effectively (e.g., multi-task).
