Position: Grants Accounting Coordinator

Department: Finance

Reports to: Grants Manager

Compensation: $74,675 Annually 

Status: 100%, Full-time, Regular, Exempt

Probation: 180 days

DEPARTMENT SUMMARY: The Finance Department is a team of approximately 20 employees responsible for all financial and accounting matters of the Centers’ ten locations throughout the Los Angeles area. There are a wide variety of areas within the Finance department, including treasury, accounting, government grants, tax, contracts, and risk management. The Finance Department is a team of hardworking individuals who are committed to provide timely financial reporting, so that the Center can continue to provide much needed services to the community.

JOB SUMMARY: The Grants Accounting Coordinator will be responsible for a wide variety of financial and accounting projects and tasks, including posting grant activity to the general ledger, grants invoicing, collections, account analysis and reconciliations, process evaluation and improvement, grants administration, policy and procedure improvement, and general ledger analysis and review. The ideal candidate for this position will proactively work with program departments on various grants and programmatic matters.

ESSENTIAL FUNCTIONS:

•Work closely with program directors, other managers and staff to ensure smooth and accurate grant invoicing and compliance, including staffing allocations.

•Interact directly with funders from the RFP process through renewals and close-out processes, including cost reports and coordinate with program staff for site visits.

•Work with Senior Grant Manager in the preparation and submission of grant RFPs, applications, and renewals, including preparation and review of detailed budgets.

•Prepare monthly grant billings, invoice various funding sources and analysis, ensuring entries are recorded in the general ledger.

•Align grant revenue reporting with the general ledger.

•Provide analysis of and manage the monthly grant budget to actual variance reports and ad hoc reports as necessary, and conduct variance meetings with program directors/representatives to ensure spend-out of grants.

•Ensure all aspects of grant reconciliation are completed at month-end, year-end and for the annual audit including the grant receivable roll-forward balance and reconciling to the general ledger.

•Proactively assist with grants collections.

•Provide support to the Finance department during the monthly closing process.

•Manage deferred grant revenue and research grant accounts, including the release of funds as earned.

•Manage the preparation and review of grant budget modifications and maintain an active listing of the modifications’ progress (i.e., pending, in progress, submitted, approved, etc.).

•Recommend and develop changes to the Los Angeles LGBT Center’s Accounting Policies & Procedures manual based on professional judgment and knowledge of internal control requirements.

•Manage Subcontractors when necessary.

•Attend mandatory conferences, meetings and trainings.

•Undertake special projects/analysis.

•Other duties as assigned.

JOB QUALIFICATIONS AND EXPERIENCE:

•Knowledge of or experience working with the LGBTQ community and familiarity with issues of particular relevance to LGBTQ people.

•A passion for the Center’s work and its mission to make the world a better place for LGBTQ people.

•Minimum 1 year, preferred, progressive experience in grant accounting and working in a dynamic multi-service environment.

•Minimum 3 years of experience in related field or equivalent education with a concentration in Finance or Accounting.

•Demonstrated ability to meet deadlines in a fast-paced environment.

•Knowledge of Generally Accepted Accounting Principles (GAAP).

•Self-starter willing to work evenings and weekends when necessary.

•Proven inclination to implement successful solutions.

•Proven focus on superior internal and external customer service.

•Strong verbal and written communication skills, including strong interpersonal and organizational skills.

•Strong computer skills and knowledge including automated accounting systems; word processing, spreadsheets etc.

•Demonstrated ability to work effectively with people of diverse races, ethnicities, nationalities, sexual orientations, gender identities, gender expression, socio-economic backgrounds, religions, ages, English-speaking abilities, immigration status, and physical abilities in a multicultural environment.
