ob Description Summary

Under general direction from the Controller, the Payroll Administrator is responsible for the preparation and processing of weekly payroll for over 350 employees. This includes monitoring all tasks necessary to accomplish the organization’s payroll processing objectives, including relationships with external auditors and state and federal agencies. The majority of the employee’s time is spent planning, coordinating and managing the functions of the payroll department. This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations.

Essential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions.
  • Editing time transaction i.e. any missing or incorrect punches.
  • Handle the administration of the electronic timekeeping system. Setup each employee, valid programs for each employee's charges, and adherence to FLSA; monitor submissions of approved timesheets.
  • Analyzes, prepares and inputs payroll data. Typically uses automated system to produce accurate and timely payroll.
  • Ensures compliance with all applicable state and federal wage and hour laws.
  • Prepares weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management.
  • Responsible for the coordination efforts between payroll, human resources, budget and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. labor, overtime, leave balances, head count, and retirement contribution reports).
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization.
  • Facilitates management and employee understanding of payroll procedures.

Required Skills and Experience

  • Three plus years in a Payroll Office performing all payroll functions
  • Excellent skills using MS Word, Excel, Access, and Internet Explorer
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting systems
  • Ability to maintain confidentiality and exercise extreme discretion
  • Federal contractor experience a plus
