The Client Service Representative plays a crucial role in the veterinary clinic by serving as the primary point of contact between clients and the veterinary staff.

The following is a list of essential job requirements. This list may be revised at any time and additional duties not listed here may be assigned as needed:

  • Previous experience in a veterinary customer service role required
  • Client Interaction: Greeting clients, answering phone calls, and addressing inquiries about appointments, services, and general information.
  • Appointment Scheduling: Managing and scheduling appointments for services.
  • Check-in and Check-out Procedures: Assisting clients with the check-in process upon arrival and managing the check-out process, including processing payments and providing invoices.
  • Client Education: Providing information to clients regarding pet care, vaccination schedules, medications, and other relevant topics.
  • Record Keeping: Maintaining accurate and up-to-date client and patient records, including medical histories, contact information, and billing details.
  • Handling Emergencies: Responding to emergency situations by providing initial information and directing clients to the appropriate veterinary staff.
  • Client Communication: Keeping clients informed about their pet's progress, test results, and any necessary follow-up appointments.
  • Billing and Payments: Handling financial transactions, invoicing clients for services rendered, and processing payments accurately.
  • Cross-Team Collaboration: Collaborating with veterinary technicians, assistants, and veterinarians to ensure seamless communication and coordination of patient care.
  • Customer Service Excellence: Ensuring a high level of customer satisfaction by addressing client concerns, resolving issues, and providing a positive experience.
  • Front Desk Management: Managing the front desk area, maintaining cleanliness, and organizing client records and information.
  • Follow-up Communication: Following up with clients post-appointment to gather feedback, address concerns, and schedule any necessary follow-up appointments.

Skills:

  • Maintain a positive attitude
  • High school diploma or equivalent (required)
  • Veterinary and/or receptionist experience (required)
  • Proficiency with office equipment, using computer systems and software applicationsExcellent customer service skills
