Longleaf Counseling & Collaboration is Hiring a Virtual Assistant - Outpatient Mental Health Practice Near Raleigh, NC

Are you a highly organized and compassionate professional with a passion for supporting mental health services? Our mental health practice is seeking a dedicated Virtual Assistant to provide administrative support and ensure the smooth operation of our services. You will provide administrative support to our clients remotely. As a Virtual Assistant, you will be an integral part of our team, helping to manage day-to-day tasks and enhance our efficiency.

The ideal candidate has experience in a medical office setting, with Electronic Health Record software, ability to learn, possesses strong organizational skills, and is proficient in using various softwares such as Google WorkSpace, TherapyNotes, and other systems.

Duties:

  • Administrative Support: Manage calendars, schedule appointments, and handle email correspondence for clinicians and administrative staff.
  • Client Communication: Respond to client inquiries, manage phone calls, and facilitate communication between clients and clinicians.
  • Data Management: Maintain and organize digital files, client records, and databases.
  • Billing Assistance: Support billing operations by preparing invoices, processing payments, and following up on outstanding accounts.
  • Billing Management: Prepare and submit insurance claims, manage patient billing, and ensure timely collection of payments.
  • Accounts Receivable: Monitor accounts receivable and follow up on outstanding payments.
  • Patient Communication: Assist patients with billing inquiries and resolve any billing issues or discrepancies.
  • Compliance: Ensure billing practices comply with industry regulations and standards.
  • Coordination: Collaborate with clinical staff to ensure accurate documentation and billing for services provided.
  • Insurance Verification: Verify patient insurance coverage and benefits.
  • Social Media Management: Assist in managing some social media accounts and creating content to promote mental health awareness related to our practice and specialities (not required)
  • Travel Arrangements: Coordinate travel plans for staff attending conferences or professional development events.

Required Experience:

  • Experience: Proven experience as a Virtual Assistant or relevant administrative role, preferably in a healthcare or mental health setting.
  • Skills: Excellent verbal and written communication skills, proficiency in Google Workspace, familiarity with electronic health record (EHR) systems and tele-health platforms. Knowledge of HIPAA and federal and state laws in regards to confidentiality within mental health practices and medical settings.
  • Attributes: Highly organized, detail-oriented, able to work independently, and possess strong time-management skills.
  • Education: High school diploma required; Bachelor degree in progress in human services, social work, psychology, etc. preferred; additional qualifications as an Administrative Assistant, Office Coordinator, or relevant field are preferred.
  • Tech-Savvy: Comfortable with technology and able to quickly learn new software and tools.

Please note that this is a virtual position, and you will be working remotely from your own location. You will need high speed and reliable internet. You will be required to come into the office in Raleigh, NC occasionally (no more than 2x/monthly). This is a paid part-time position with competitive compensation based on experience. You will be provided a computer and phone by our company.
