Logistics and Distribution Company is Hiring a Front Desk Coordinator/HR Assistant Near Melville, NY

The Front Desk Coordinator/HR Assistant will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization, both in person and over the phone. The successful candidate should have excellent interpersonal skills, phone etiquette, and be able to handle multiple tasks in a fast-paced environment. Additionally, this position provides the opportunity to assist the HR department with administrative task. Drive, initiative and reliability are key aspects for this position. Duties and responsibilities include but are not limited to:

Responsibilities and Duties:

  • Welcome and assist guests/clients as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures).
  • Provide timely and accurate information in-person and via phone/email.
  • Order front office supplies and keep an inventory of stock.
  • Update calendars and schedule meetings for executives.
  • Arrange travel and accommodation and prepare vouchers.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Order lunch for clients as needed.
  • Assist HR with admin duties as assigned.

Qualifications/Preferred Requirements:

  • Exceptional Interpersonal Skills, Phone Etiquette and Appointment Scheduling
  • Excellent communication, written and verbal skills
  • Excellent organizational skills
  • Professional attitude and appearance
  • Multitasking and time-management skills, with ability to prioritize tasks
  • Ability to work independently and as part of a team
  • Ability to be resourceful and proactive when issues arise
  • Ability to handle confidential information with discretion
  • Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite and Mac
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Customer service focused attitude
  • High school degree: additional certification in Office Management is a plus
  • Able to contribute positively as part of a team, helping with various tasks as required.
  • Bilingual (English and Spanish) a plus
