Primary Purpose:

Facilitate the efficient operation of the assigned office. Handle confidential information and frequent contact with all levels of district employees, outside agencies, parents and the general public. Operate multi-line telephone to relay incoming, outgoing, and interoffice calls.

Qualifications:

Education/Certification:

High school diploma or GED

Intermediate clerical training courses or demonstrable secretarial skills

Good computer skills a must

Special Knowledge/Skills:

Proficient skills in typing, word processing, and file maintenance

Phone etiquette with professional level telephone and verbal communication skills a must

Excellent organizational, communication, and interpersonal skills

Ability to operate a computer at a proficient level

Ability to work as part of a team

Requires professional and courteous demeanor with public and co-workers

Experience:

Two years or more of clerical experience

Major Responsibilities and Duties:

  1. Operate the substitute system, including data entry and generation of reports (e.g. substitute lists, absences reports, and utilization reports)
  2. Support all users of the substitute system to ensure correct usage.
  3. Create information materials for substitute teachers pertaining to the campus.
  4. Schedule substitutes as needed to ensure coverage of absent staff. Coordinator campus staff to help with coverage if needed.
  5. Take and relay messages for staff.
  6. Assist with Chromebook distribution and ID’s for students
  7. Organize and manage routine work activities of the assigned office or for assigned position.
  8. Maintain confidentiality of information.
  9. Keep informed of and comply with all state and district policies and regulations concerning primary job functions.
