Primary Purpose:

The Fleet and Fixed Asset Manager is a pivotal role that encapsulates the management of approximately 250 light-duty passenger vehicles and 100 varied fleet assets. This role also encompasses the oversight of fixed assets, including furniture, IT, AV, and surveying equipment. Adept knowledge in DOT compliance, insurance, risk management, asset inventory, and financial reporting for depreciation and tax assessments is required.

You will work closely with leadership and stakeholders across the organization and with Business Solution team including accounting, legal, HR, and HSE. The role necessitates a strong liaison with Health, Safety, and Environment (HSE) initiatives to ensure fleet safety and compliance. Outside the organization, the Fleet and Fixed Asset Coordinator will manage the relationships with vendors and business partners.

In this position, you will encounter a number of scenarios requiring critical thinking and problem-solving skills. The role requires a high degree of organization and collaboration. To be successful, the Fleet and Fixed Asset Manager must be able to, prioritize tasks, build processes, and provide exceptional communication to stakeholders and partners.

Job Responsibilities:

In this dynamic role, the Fleet & Fixed Asset Manager is entrusted with a wide array of responsibilities that ensure the smooth operation and strategic management of the company's fleet and fixed assets. The list below outlines the core duties, with an understanding that flexibility and a willingness to take on additional tasks are key to the success of our firm.

Strategic Fleet Management: Lead the comprehensive management of approximately 250 light-duty passenger vehicles and 100 varied fleet assets, including procurement,

  • maintenance, and liquidation, while proactively strategizing for future needs to align with the company's growth and compliance standards.
  • Stakeholder Engagement: Build and maintain robust relationships with internal stakeholders by being highly responsive, proactive, and maintaining regular, transparent communication. This includes initiatives that ensure stakeholder needs are met and expectations are exceeded through consistent updates and strategic insights.
  • Safety & Compliance Oversight: In partnership with Health, Safety, and Environment (HSE), enforce and enhance safety protocols, rigorously investigate incidents, and actively advocate for a culture of safety throughout the organization, maintaining stringent compliance with DOT and other regulatory requirements.
  • Insurance & Claims Management: Manage insurance policies, process claims, and oversee renewals, ensuring assets are comprehensively covered and claims are resolved efficiently.
  • Inventory & Asset Tracking: Implement and manage a barcode inventory system to maintain accurate and real-time records of all fixed assets, performing regular audits for accuracy and accountability.
  • Fleet Performance Monitoring: Utilize advanced telematics systems and fleet management software to monitor, report, and optimize fleet operations, maintenance schedules, and cost management, leveraging data to support strategic decision-making.
  • Operational Coordination & Maintenance: Ensure meticulous documentation and management of vehicle inspections, registrations, and toll management. Coordinate repair orders and maintenance activities with external service vendors to ensure operational efficiency.
  • Vendor Relationship Management: Establish and sustain productive relationships with vendors and service providers, conducting regular evaluations to ensure competitive pricing and quality service.
  • Driver Records & Training: Effectively communicate with all levels of the organization, maintaining detailed vehicle and driver records and administering comprehensive fleet training programs.
  • Project Management: Apply robust project management skills to facilitate new programs and manage diverse projects, ensuring they align with organizational objectives and stakeholder interests.
  • Asset Management Strategy: Offer strategic guidance on asset management, proposing improvements and efficiencies that align with the company's financial and operational goals.

Support & Additional Responsibilities: Be prepared to drive company vehicles as needed and undertake other duties that contribute to the organization’s success, epitomizing our ethos of adaptability and dedication.

The employee is regularly required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The role also requires the ability to drive vehicles with occasional requirements to drive longer distances.
