Overview:
As a Dental Patient Care Coordinator, you play a pivotal role in ensuring a positive and seamless experience for patients visiting our dental practice. You will be the first point of contact for patients, coordinating appointments, providing assistance with administrative tasks, and delivering exceptional customer service. Your focus will be on creating a welcoming environment, addressing patient needs, and facilitating efficient communication between patients and dental staff.

Responsibilities:

  • Appointment Management:
  • Schedule patient appointments, including routine cleanings, examinations, and treatments, while optimizing the dentist's schedule for maximum efficiency.
  • Coordinate with dental hygienists, assistants, and other staff members to ensure timely and well-organized patient care.
  • Confirm appointments with patients via phone, email, or text message and reschedule as necessary.
  • Patient Communication and Support:
  • Greet patients warmly upon arrival, assist with check-in procedures, and gather necessary information such as medical history and insurance details.
  • Provide information about dental procedures, treatment options, and post-operative care instructions in a clear and understandable manner.
  • Address patient inquiries, concerns, and requests with empathy and professionalism, ensuring their needs are met to the best of your ability.
  • Administrative Tasks:
  • Maintain accurate patient records, including demographic information, treatment plans, and billing details, using dental practice management software.
  • Verify insurance coverage, process insurance claims, and assist patients with billing inquiries and payment processing.
  • Manage office correspondence, including phone calls, emails, and mail, and ensure prompt and courteous responses to patient inquiries.
  • Office Coordination and Organization:
  • Ensure the cleanliness and organization of the reception area, waiting room, and front desk area to create a welcoming environment for patients.
  • Manage inventory of office supplies and dental materials, ordering supplies as needed and maintaining adequate stock levels.
  • Assist with basic clerical tasks such as filing, scanning documents, and maintaining patient confidentiality in compliance with HIPAA regulations.
  • Team Collaboration:
  • Collaborate closely with dental providers, assistants, and administrative staff to coordinate patient care and address any issues or concerns.
  • Participate in team meetings and training sessions to stay informed about office policies, procedures, and updates in dental technology or treatment techniques.
  • Foster a positive and supportive work environment by communicating effectively, sharing feedback, and contributing to a culture of excellence in patient care.

Qualifications:

  • High school diploma or equivalent (required); additional education or certification in dental assisting or office administration (preferred).
  • Previous experience in a customer service or administrative role, preferably in a dental or healthcare setting.
  • Proficiency in computer skills, including Microsoft Office applications and dental practice management software, preferably Open Dental (e.g., Dentrix, Eaglesoft).
  • Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Knowledge of dental terminology, procedures, and insurance billing processes (preferred).
