Lindsay, Pickett & Postel, LLC is Hiring an Assistant Administrator Near Chicago, IL

Lindsay Pickett & Postel, LLC is seeking an assistant firm administrator who will play a critical role in ensuring the firm’s back-end systems and human resources run smoothly. Our firm is a growing multistate insurance litigation practice that provides opportunity for advancement and a collegial work environment in a newly updated downtown Chicago office. The ideal candidate for this position will be organized, a fast learner, an excellent communicator, and willing to work as a team. Given the nature of this position, our ideal candidate also possesses discretion and attention to detail.

Key Responsibilities:

· Prepare firm invoices for attorney review and uploading to client billing platforms.

· Handle physical check deposits to the firm's bank account.

· Assist in planning office events and client entertainment functions.

· Assist our Firm Administrator with HR functions such as recruiting, state law updates and employee relations.

· Support employee scheduling and requests for time off, ensuring optimal staffing levels to meet firm needs.

· Maintain, communicate, and enforce office policies and procedures.

· Obtain quotes and renewal of firm insurance policies, including creating cost comparisons.

· Work with IT vendors to coordinate local rollouts and initiatives.

· Oversee staff and act as a point of contact, including some overflow support work if needed.

· Proactively develop plans for short-term and long-term office needs.

Qualifications:

· College degree required.

· 2-5 years of experience in an office management/administration role strongly preferred. Fulfilling that role within the legal field is also preferred.

· Proficiency in software technology and case management software.

· General familiarity with human resources principles and state requirements for employers.
