Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Assistant to the Operations Manager. In this role, you will provide administrative support to the operations manager and assist in coordinating various projects. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Duties:
- Serve as the front desk point of contact, greeting visitors and directing them accordingly
- Act as a personal assistant to the operations manager, providing administrative support as needed
- Maintain and organize files, both physical and electronic, ensuring easy retrieval of information
- Handle phone calls with professionalism and excellent phone etiquette
- Provide exceptional customer service to internal and external stakeholders
- Manage the operations manager's Outlook Calendar, scheduling appointments and meetings
- Assist with coordinating projects, ensuring deadlines are met and tasks are completed in a timely manner
- Perform general clerical duties such as data entry, photocopying, and scanning documents
- Utilize software tools such as DocuSign for document management and electronic signatures
Qualifications:
- Previous experience in a front desk or administrative role is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Proficient in using phone systems and handling calls professionally
- Ability to coordinate multiple projects simultaneously
- Attention to detail and accuracy in all work performed
