Light Up The Night is Hiring a Logistics Coordinator Near Fort Lauderdale, FL

Are you passionate about events? As part of our team at Light Up the Night, you will be responsible, under direction of the Director of Logistics and Account Managers, for logistics coordination and organization of the various events all over the US. You would be the trusted source of all logistical information related to each of our events, including venue details, temporary event assistants, staff travel arrangements and event materials.

Responsibilities will include:

  • Assisting in assigning, coordinating, and maintaining a schedule for crew members
  • Attending events as an onsite logistical representative.
  • Communicating effectively and professionally over the phone with clients and vendors
  • Assisting in logistic coordination and organization of assigned events all over the country in regards to venue booking, temporary staff recruitment, staff travel coordination and events’ material organization.
  • Research for event venues (stadiums, sites and other activation) and account for logistical challenges.
  • Follow-up with clients and associated contacts about details and needs of each event, provides all on-site requirements and assist in coordinating all pre-event requests
  • Contact staffing agencies, negotiate costs and verify contracts, screen and coordinate temporary on-site event assistants
  • Coordinate of the travel planning and accommodation booking for all traveling staff members
  • Coordinate meal and execution of delivery/ pick up for project staff, factoring in cost and timeliness.
  • Prepare, print and organize all event-related documents in the Event Binder.
  • Coordinate and follow-up event materials between all travelers for all events.
  • Input and calculate event budgets related to all points above
  • Maintain an up to date knowledge of all internal department processes.
  • Supports the VP Account Management, Account Managers and Department Directors as needed.
  • Managing calendars and schedules
  • Attend meetings and take efficient notes
  • Manage errands (pickups, transfers of assets, etc)
  • Assisting in inventory management of equipment and assets
  • Managing purchases
  • Assisting in administrative daily processes

The Requirements:

  • Reliable transportation and ability to commute
  • Fluent verbal and written English
  • Ability to successfully prioritize and manage multiple tasks
  • Ability to work well under pressure
  • Proficiency in Google Workspace (I.e. Google docs, google sheets, google drive, gmail, etc)
  • Must be extremely detail oriented and organized
  • Must be adaptable to the ever changing flow of events.
  • Must be able to remain focussed under pressure.
  • Must have reliable transportation.
  • Must have effective note taking skills
  • Must be willing to remain reachable for communication, even during “off” day

Preferences:

  • Some form of event, entertainment, or production background is preferred (i.e Event planning, Tour agency, or Customer service)
  • Multilingual
