Construction / AP / Client Coordinator

Basic Job Description

• Process Mail & Invoice emails
• Prioritize invoices by due date
• Go through Vendor Statements and request missing invoices
• Enter invoices for this week’s check run into accounting software (BRIX)
• Prepare invoices for PM & COO weekly approval
• Get checks to Controller for signature
• Scan signed checks & mail to vendors
• Match receipts to Credit Cards & Home Depot bills
• Maintain Current Vendor Files/Certificates of Insurance
• Coordinate with decorators and clients to complete selection process
• Upload selections in Buildertrend once approved
• Greet clients/vendors/visitors
• Answer phone & check voicemail
• Pull job reports weekly for active jobs
• Weekly production report updates
• Property Addressing and Permitting
• Order Surveys and Engineering
• Utilities applications
• Order dumpster & portalets
• Maintain Starts Reports
• Create & Maintain Builder Books
• Maintain Buildertrend software
• Help Director of Construction with warranty & warranty reports
• Create New Homeowner Closing/Warranty packets

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year
