SUMMARY:Reports to the Program Manager, Value Analysis & Manager, Purchasing Operations. Split position, 20 hours each area.The Project Lead, Supply Chain Operations and Clinical Value Analysis is responsible for performing various duties and functions in support of value analysis/sourcing/data team. The Project Lead, Supply Chain Operations and Clinical Value include reviewing all non-file purchases, information gathering; utilizing current software programs to pull site usage and to find like items site relations & follow-up on requests; working with different clinical service lines to determine what products they are using; vendor relations; MedApproved request review; VA team agenda and meeting preparation; and special projectsLifespan employees are expected to embrace Lifespan's mission of "Delivering health with care" and successfully role model Lifespan's values of Compassion, Accountability, Respect, and Excellence as these guide our everyday actions with patients, customers and one another.PRINCIPAL DUTIES AND RESPONSIBILITIES:Review & audit all non file purchases (historical & current) against active contracts & value analysis initiativesWork with clinical teams to understand the clinical reason as to why the new product being requested is clinically superior.Determine if item should be added to item file and EPIC or provide suitable productObtain and verify all item attributes for item load (Pricing)Determine if item will be stored in the warehouse (set up Par/Replenishment)Works closely with the end users to obtain compatible approved product for Purchasing.Work with site end users to determine if any other items are purchased within this product lineCreate financial analysis, utilizing information from the Lifespan system, that will help reduce non file ordering and product standardization.Provide support as a product liaison between the clinical teams, distribution and operations. Manage relationships with staff, management, internal customers, and vendors that facilitate smooth flow of services and approved products.Utilizes Supply Chain tools, files and processes such as E-Procurement and GHX to regularly monitor demand and take necessary steps to maintain accuracy and prevent and/or correct anticipated problems to minimize end user errors.Perform all Supply Chain Data Analyst job functions and responsibilities at an advanced level.Serves as the facilitator for supply chain value analysis operations with Lifespan. Responsible for creating work plans for each team and managing to the teams’ objectives through routine meeting facilitation.Responsible for assisting in the set up of product trials and ensures evaluations are completed ethically, unbiased, and in a professional manner. Works closely with Value Analysis Program Manager and clinical teams to ensure a smooth process flow product trials.Review MedApproved requests. Follow up with requestor on any missing information.Determine current items being used within software programs. Work with site end users to determine if any other items are purchased.Pull usage and spend on current items for MedApproved requests.Do financial comparison of current product compared to requested product.Input cost analysis into MedApproved.Review consumption of new product if agreed upon site amount.Work with VA teams to put together agenda and minutes as needed.Work with OR and distribution teams as needed.VA project management activity, including collaborating and coordinating across the organizationManages VA critical projects Understands service offerings so that they can identify and articulate new business opportunitiesRisks and issues are proactively identified and managed. High quality is planned and delivered on the project, meeting all agreed upon requirements and ensuring high customer satisfaction through the management of the overall customer experience.Communications are planned and conducted during the project to ensure stakeholders are involved, expectations are accurately set, managed, and key stakeholders receive adequate communications throughout the project lifecycle Assists other departments on System-wide initiatives as needed in relation to supply chain related products and processes. Departments may include but not limited to the following: Infection Prevention, Risk Management, Clinical Pathways, Clinical Resource Management, Quality Management, Employee-Patient Safety, Policy and Practice Council, Clinical Optimization, etc.Work closely with the Manager of Purchasing Operations and Manager of Value Analysis on special projects /activities as directed.SYSTEM EXPERTS:Microsoft Office, People-Soft, MedApproved GHX as well as any future systems that will be implemented in support of supply chain activities.EDUCATION:Associates degree, Bachelor’s degree preferred.EXPERIENCE:Two years previous experience in supply chain analytics or the equivalentMust have strong computer skills – prior use with excel is preferredGeneral understanding of Supply Chain Operations. Strong communication and reporting skills. Interpersonal skills to effectively orient and train users regarding systems, related information requirements and service needs.Project management skills including facilitation, prioritization and resource management.PeopleSoft knowledgeClinical Operations knowledgeWORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:Normal office environment, with some walking to other areas to investigate and resolve problems, and provide system training and the like. May experience some visual fatigue associated with extended periods of time at a computer terminal.INDEPENDENT ACTION:Performs independently within the department’s policies and practices. Refers specific complex problems to the Director when clarification of the departmental policies and procedures are required.
