Property Manager - Class A Multifamily Property

JOB SUMMARY

This position is directly responsible for achieving company goals at the property level. Supervisory position with responsibility for operations, financial performance, and resident relations. Oversee all aspects of managing a "Class A" apartment community, including budgeting, advertising, leasing, and staff supervision. Create a marketing and management program to maintain optimum occupancy levels, income, and value of the community. Participate in the selection, hiring, and training of new employees.


WAGE/HOUR STATUS

  • Salary-Exempt (ineligible for overtime)


DUTIES AND RESPONSIBILITIES


Financial

  • Prepare budget in accordance with corporate designed guidelines.
  • Monitor community finances through completion of daily, weekly, and monthly financial and property management reports.
  • Implement and manage programs that increase revenue, decrease expenses, and increase resident satisfaction.
  • Supervises and implements persistent and continuous collection efforts to minimize delinquencies. Supervise eviction process, including attending court sessions as needed.
  • Ensure that all rents are collected and posted in a timely manner, and bank deposits made on a daily basis.
  • Negotiates beneficial vendor and subcontractor pricing and services in accordance with budget and corporate guidelines.
  • Review, approve, and submit invoices for payment.


Personnel

  • Hires, trains, motivates, supervises, counsels, evaluates, and terminates all onsite staff in order to achieve operational goals of assigned property, in accordance with hiring policies.
  • Directs and oversees all activities and responsibilities of onsite staff.
  • Assesses employee skills, establishes development plans, and provides ongoing coaching and corrective actions to improve performance and assists employees to develop and be ready for advancement.
  • Ensures compliance with all human resources policies.
  • Responsible for ensuring all onsite employees comply with legal, operational, and administrative policies.
  • Promotes and ensures compliance with Fair Housing laws and other industry-related federal, state, and local laws.

    Administrative/Office

    • Ensures that lease files are complete and that completion of leases is being executed properly.
    • Maintains records on all aspects of management activity on a daily, weekly, and monthly basis. Submits required reports to the corporate office on a weekly and monthly basis.
    • Prepares or supervises the timely and accurate preparation of all required reports and forms.
    • Understand monthly financial accounting, and reporting, and be able to explain the reasons for any variances.
    • Have a complete understanding and working knowledge of weekly operating reports and be able to explain any key points and elaborate on any contributing factors for each property under supervision.


    Resident Relations

    • Develops strategies for resident retention and delivers exceptional customer service in order to achieve the resident turnover goals of the community.
    • Ensures all employees are providing exceptional customer service and resident relations by being friendly, courteous, and professional at all times when dealing with residents.
    • Makes periodic inspections with residents of move-in/move-outs.
    • Reviews all notices to vacate to determine the cause of the move-out.


    Maintenance

    • Physically walks and inspects property regularly; Verifies the condition of vacant apartments.
    • Updates board indicating vacancy status on a daily basis. Coordinates with maintenance and make-ready staff to ensure timely recondition of apartments after move-out.
    • Performs daily review of Service Requests to ensure timely completion and adherence to legal constraints.
    • Works closely with Maintenance Supervisor to ensure preventive maintenance programs for the site and all site equipment (i.e. central air conditioning systems, hot water, etc.) are implemented and monitored.


    Marketing/Leasing

    • Conducts regular site inspections to ensure the property meets established site standards for curb appeal, safety, and cleanliness.
    • Conducts market surveys monthly and provides trend report information. Shops competition and is aware of neighborhood market conditions.
    • Welcomes and shows property to prospective new residents.
    • Maintains current information on competitors. Creates and implements innovative marketing and advertising plans and strategies to counteract changes in market conditions and remain competitive in the market.
    • Performs any additional duties or tasks as assigned by supervisor.


    QUALIFICATIONS

    • High-School diploma or equivalent required, 4-year college degree preferred.
    • Certified Apartment Manager Designation or equivalent certification strongly preferred.
    • Position requires at least 3-5 years of experience in on-site property management as Property Manager.
    • Proficient in all areas of property management operations.
    • Competent using a personal computer - Minimum of 3 years experience with industry- standard software, as well as Microsoft: Word, Excel, and Outlook.
    • Good written and verbal communication skills.
    • Excellent supervisory, leadership, and employee development skills.
    • Exceptionally strong organizational, analytical, and problem-solving skills with great attention to detail.
    • Financial background that includes: budget preparation, managing and controlling expenses, approval of purchase orders and vendors, and experience in reviewing income and expense reports.
    • Excellent leadership and interpersonal skills and ability to work effectively in a team environment.
    • Experience in recruiting, hiring, developing, and mentoring property staff members.
    • Critical thinking skills to aid in implementing property improvements, creative thinking to generate community involvement and resident loyalty.
    • Ability to effectively manage multiple tasks and projects simultaneously.


    PHYSICAL REQUIREMENTS

    • Stand and walk or sit alternatively depending on the specific needs of the day. Estimate 60% of time is spent on feet and 40% sitting at a desk.
    • Have frequent need (33% to 66% of the time) to bend/stoop/squat, climb stairs, push or pull, and reach above the shoulder.
    • Constant need (66% to 100% of the time) to write/type, grasp/turn, and finger dexterity for the operation of office equipment, lift office supplies and files.


    VISION REQUIREMENTS

    • Constant need (66% to 100% of the time) to complete forms, read and review reports and a wide variety of correspondence, and view computer screens. Frequent need to see small details.

    DRIVING REQUIREMENTS

    • Frequent need (10% to 15% of the time) to utilize personal transportation to inspect property comps, visit the corporate office, etc.
    • Must have a valid driver's license, reliable transportation, and automobile insurance.

    Salary in line with experience.
