The Legal Aid Justice Center is a nationally recognized nonprofit organization that partners with communities and clients to achieve justice by dismantling the systems that create and perpetuate poverty. Justice means racial justice, economic justice, and social justice.

From its offices in Charlottesville, Richmond, Petersburg, and Falls Church, LAJC is a fierce advocate for low-income clients and communities in Virginia. Just in the past year, we permanently repealed Virginia’s driver’s license suspension for court debt scheme, secured an injunction slashing the number of immigrants detained by ICE at the largest detention center in the Mid-Atlantic and passed a law giving Virginia oversight authority, won the nation’s first COVID-specific, statewide, and enforceable workplace safety standards, passed legislation enabling communities to set up civilian oversight for law enforcement, and decriminalized school-based disorderly conduct, which was a leading contributor to the school-to-prison pipeline, especially for Black students.

Founded in 1967, LAJC provides services under four key program areas: Civil Rights & Racial Justice, Economic Justice, Youth Justice, and Immigrant Advocacy. About the Position

You will report to the Director of Finance, the Financial Analyst, Budget, and Contracts, takes ownership of maintaining the organization's annual budget, the financial aspects of grants management, and financial planning & analysis (FP&A) functions of the organization, including:

  • Perform all aspects of grant and contract-related accounting.
  • Provides decision support to the Director of Finance, Executive Director, and other members of the Leadership Team.

Job Duties

  • Grants
    • Working closely with the Development Department, prepares budgets in support of funding requests. 
    • Prepares expenditure reports and required documentation for non-government grantors. 
    • Prepares and submits periodic contract billings to funders, including the federal government, in accordance with relevant regulations including Federal Uniform Cost Principles. 
    • Works closely with colleagues responsible for grant deliverables, including members of the Development Department and various program staff, to ensure proper spend-down of grant awards and appropriate monitoring and tracking of grant expenses. 
    • Develops and maintains tools and methods to track and monitor cost-reimbursable and/or restricted grants. 
    • Collaborates with owners of related information systems including LegalServer and UKG to ensure that accurate flow of timekeeping information for payroll allocations in Sage Intaact. 
    • Periodically provides training on timekeeping policies and procedures to all LAJC staff to ensure compliance with grant requirements.
    • Process payroll allocations in a timely manner and works closely with the Director of Finance to remediate errors.
    • Maintains accounts receivable to ensure appropriate revenue recognition in accordance with US Generally Accepted Accounting Principles as related to non-profit entities. 
    • Assists with preparation of the indirect cost rate proposal.
    • Manages grant-specific audits by providing requested information and preparing document support.
    • Maintains complete and accurate records for all grants and contracts.
  •  Budget
    • Works closely with the Director of Finance to prepare and maintain the organization's annual budget.
    • Prepares monthly budget versus actual reports for use by multiple internal stakeholders. 
    • Updates all budget-related systems including Sage Intaact with Excel-based budget reports to ensure consistency of information across the organization.
    • Periodically trains members of the Leadership Team regarding budget management.
    • Collaborates with Leadership Team members to review budget versus actuals on periodic basis.
    • Working with the Director of Finance, maintains Sage Intaact reporting tools for use by the Leadership Team.
    • Assist with preparation of periodic financial reports to the Board of Directors and Board committees.
    • Maintains the cash flow forecast.
  • General
    • Maintains the New Assets Release Schedule and Board-designated fund schedules. 
    • Assists external auditors as needed and prepares schedules and information for the annual audit.
    • Complies with local, state, and federal government requirements. 
    • Identifies and recommends updates to accounting processes and procedures.
    • Fills in for other Finance team members as needed. 
  • Racial equity: Promote racial equity across all dimensions, including within LAJC, by doing the following:
    • Helping to recruit, retain, and support both staff and leadership that reflect the racial composition of our community.
    • Cultivating respect for the work of and expanding resources for non-attorney staff that are disproportionately people of color.
    • Creating spaces for staff to discuss issues of racial, gender, and all other issues of marginalization.
    • Pushing for institutional and cultural changes by management, the board, and staff to further promote racial equity.
