POSITION OBJECTIVE
The Dean's Assistant works with significant independence and must have detailed knowledge of the university’s goals, vision, and priorities. The Dean's Assistant will oversee confidential material including salary and donor information, manage the business activity of the Dean’s office including budgeting and forecasting. This position will develop and implement internal controls regarding financial processes for the school. The manager will also be responsible for managing training and collaborations for all the school’s departments, while managing the dean’s schedule and special event planning.
ESSENTIAL FUNCTIONS
1. Develop and implement reports to be used in developing forecasts, budgets, and financial plans. Solve issues and formulate strategies and process improvements. Analyze spending patterns and problem areas, compare financial status with budget and provide variance analyses as needed. (21%)
2. Develop and implement financial processes for the school. Approve all purchase requisitions, requests for payment, and expense reimbursements; facilitate all procurement and distribution services for the school; review and analyze monthly procurement card activity; create school-wide processes that improve operational efficiencies. (20%)
3. Organize and manage the school’s onboarding for faculty and staff, including creating events to introduce new staff to the department. Train administrative staff. Facilitate an administrative forum in consultation with the director or assistant directors, to include training and to assure effective administrative procedures. (16%)
4. Ensure the efficient running of the office, answering telephones, responding to inquiries, receiving visitors, setting up meetings, maintaining calendars, ordering supplies, plan events that are supported by the dean’s office as well as support the dean(s) and the dean’s office staff. (16%)
5. Responsible for the dean's calendar; arrangements and logistics for meetings, off-campus travel, special events, reimbursements, P-card transactions, etc. Understand university policies related to travel ensuring that all necessary forms are completed properly. Assist with the dean's schedule for participation in all external relations events and contacts with key donors. (11%)
6. Manage the adjunct faculty process. Ensure requests comply with university requirements and standards and follow-up with the faculty member, chair and/or department administrator regarding noncompliant requests. Review information and reconcile payments. (11%)
NONESSENTIAL FUNCTIONS

CONTACTS
Department: Daily contact with the dean, associate deans, faculty, and staff to achieve cooperation/ facilitate and promote joint action/cooperation between functions for operating problems.
University: Frequent contact with procurement and purchasing team, central development, and other university departments to maintain workflow
External: Contact with donors, alumni, members of the business community, visiting committee members to schedule meetings, make adjustments, address concerns for events for the dean.
Students: Daily contact with students to furnish, obtain, or exchange data for information.
SUPERVISORY RESPONSIBILITY
No direct supervision of staff employees.
QUALIFICATIONS
Education and experience: High school and 6 years of experience, or Associate’s degree and 3 years of experience or Bachelor’s degree and 1 year of related experience.

7. Ability to exercise judgment with minimum supervision.
8. Discretion, good judgment, maturity, tact, and diplomacy are essential.
9. Ability to meet consistent attendance.
10. Ability to deal with constant change and accommodate moving deadlines.
11. Strong PC skills. Must be proficient in Microsoft computer applications.
WORKING CONDITIONS
General office environment. Will perform repetitive motion using computer mouse and keyboard to type. This position is eligible for the staff hybrid work program.
