LeBlanc & Young is Hiring an Estate and Trust Administrator/Drafting Paralegal Near Portland, ME

LeBlanc & Young, a small Portland estate planning & probate law firm, is seeking an Estate and Trust Administrator/Drafting Paralegal. The ideal candidate will have experience in estate administration, trust administration and fiduciary accounting. The prime candidate can work independently, handling administration of an estate from beginning to end, collaborating with attorneys as needed. Familiarity with fiduciary income tax returns is a significant advantage. The team member will also assist with some drafting of wills, trusts, powers of attorney and health care directives, as well as deeds, corporate and LLC documents associated with the trust and estate practice. Superior writing experience, great editing skills and word processing experience is therefore very helpful. Position is full-time. Partial remote work available, but a substantial and regular in office commitment is required. Pay commensurate with experience, along with competitive benefits package including paid vacation, health insurance, dental insurance, 401(k), parking and profit sharing.

:

  • Provide legal support to, and work closely with, attorneys and other staff.
  • Build relationships with the firm’s large client base, their advisors and families; respond to questions and requests for information; answering phones and responding to inquiries.
  • Prepare and assemble documents and related information for court probate filings and tax returns.
  • Prepare final legal documents for signature.
  • Draft legal documents and correspondence with the goal of conserving attorney time; careful proofreading, researching, reviewing, collecting, and analyzing information.
  • Initiate oral and written communications, including routine correspondence and emails with attorneys, clients, courts, government officials and financial institutions.
  • Maintain and organize electronic filing systems and physical files.
  • Follow up on delegated assignments; use independent judgment and discern when to act and when to refer matters to an attorney.
  • Assist with generating client invoices by entering daily time and organizing and disseminating invoices.
  • Maintain client confidence by keeping client/attorney information confidential.

:

  • Bachelor’s degree or paralegal certificate strongly preferred.
  • Several years of experience as a trust and estate administrator or paralegal preferred, alternatively associated and related work experience such as a trust department or financial firm could also be helpful.
  • Strong organizational and multi-tasking skills, tact, diplomacy, and a positive can-do attitude.
  • Must be able to work efficiently independently with little supervision including analysis and problem-solving as needed.
  • Ability to listen, adapt and follow direction.
  • Proficiency in Word, Outlook, and Microsoft Office Suite; must be comfortable learning other software programs as needed. Experience with professional tax preparation software a plus.
  • Display a high level of professionalism and warm demeanor and have the ability to interact positively and sensitively with clients and staff from varying backgrounds and personal circumstances.
  • Knowledge of standard office practices.
  • Proficiency with the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Strong writing skills and reading comprehension.
  • Ability to use standard office equipment such as computers, copy/fax machines, multi-line telephones, printers, etc.
