The Food and Beverage Department at The Cypress of Hilton Head is currently seeking a hospitality-focused Banquet Event Coordinator to join our dynamic team.

Job Description :

  • Ensuring the seamless preparation and execution of events for members, guests, and employees.
  • Coordinating with housekeeping and culinary staff to ensure proper setup of event spaces and accurate delivery of food.
  • Providing exceptional table service during all parties and events.

Assumes a coordinated responsibility to provide superb table service during all parties and events. All duties will be performed in accordance with Federal, State, and local standards, guidelines, regulations, and the established policies and procedures of The Cypress of Hilton Head.

Responsibilities include :

1. Ensures the smooth preparation and execution of planned events and parties,

2. Coordinate with housekeeping to set up the proper event space in accordance with the Banquet and Event Order

BEO) form.

3. Coordinates with the Activities Director(s) to plan and execute activities.

4. Coordinate with the culinary staff to prepare and deliver the correct foods in accordance to the BEO form.

temperature controls for food (proper cooling and re-heating), and equipment.

6, Maintains compliance with the State Health Department regarding storage, sanitation, container ., and labeling &

dating of products.

7. Act as the point person to resolve issues / complaints during events.

8. Provides valuable input to the team when planning and improving future events.

9. Receives meal and beverage orders from members.

10. Serves beverages and meal items to the members.

11. Sets up and resets tables according to standard.

12. Participates in maintaining a high level of customer service

13. Complete special projects as assigned by the supervisor.

14. Attends all mandatory meetings, in-services, and training.

15. Reviews and conforms to service procedures as directed in our "Standards of Service Manual."

16. Understands the responsibility to report suspected violations of "The Cypress Code of Conduct" to appropriate

persons, or to the Cypress Of Hilton Head Hotline, or by completing a written report or Suspected Compliance

violation, or by contacting the Corporate Compliance Officer directly.

17. Must be able to work weekends & holidays as required.

18. Takes appropriate precautions to avoid job-related injuries and complies with injury reporting guidelines.

19. Actively participates in safety programs and complies with The Cypress Of Hilton Head policies and procedures,

20. Look for ways to continuously improve safety for members, staff and visitors.

21. Embraces the Cypress Hospitality Promises daily.

Additional Responsibilities :

  • Stocks wait station and tables as needed.
  • Clears table of soiled dishes, glasses, etc. during and after meal service.
  • Assists in plating of salads and desserts for dining service.
  • Maintains standards for personal appearance and cleanliness.
  • Follows all kitchen and dining room policies and procedures as established.
  • Assists other personnel with the completion of duties when necessary.
  • Promotes fine dining skills.
  • Use members’ names when serving.
  • Helps host, when necessary.
  • Proactively recognizes potential problems.
  • Be able to work in any section of the Dining Room.
  • Always promote friendliness toward members and guests.
  • Ability to expedite, if necessary, in the kitchen.
  • Ability to communicate with members in problem-solving tasks.
  • Ability to work unsupervised on special functions including catering functions, bartender, and hostess duties.
  • All other duties as assigned.

Qualifications : The requirements listed below are representative of the knowledge, skills and / or ability required.

  • Freedom from illegal use of drugs.
  • Freedom from use and effects of use of drugs and alcohol in the workplace.
  • Must be at least 18 years old.
  • The ability to read and an eye for visual presentation.
  • Must be able to guide and direct event coordination activities.
  • Knowledge of DHEC regulations & proper food safety is preferred.
  • Proficient use of Microsoft Office applications (Word, Excel, and Internet resources. Ability to work effectively and diplomatically with a variety of publics, including members, community personnel, community groups, government agencies, etc,
  • Must be able to read, write, and speak the English language. Ability to present information and respond to questions from managers, members, employees, and the public.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to solve problems and make independent decisions related to the position when circumstances warrant such action.
  • Ability to prioritize, utilize good time management skills, and multi-task. Ability to work well independently and cooperatively as part of a team.

Education and / or Experience :

  • A minimum of one year of event planning experience preferably in a hotel or country club setting strongly preferred.
  • Experience working with the elderly preferred.
  • Prior experience in a teamwork setting is required.
  • Prior experience working in a leadership capacity, is preferred. A degree or certification in event planning is preferred.

Licensure / Certification : Valid Driver's License combined with an acceptable driving record.
