Finance Administrator
Reports to:
CFO
Job Overview:
The Finance Administrator is responsible to assist the Billing and Accounting departments with generating invoices and submitting them to the customers, processing payables, financial data entries and generating financial reports as required. This position requires someone who is proficient with Microsoft Excel and experienced with QuickBooks and Quantum. Effective time management and good communication skills are also required.
Responsibilities and Duties:
· Assists the Billing Manager with creating accurate invoices, includes reviewing and finalizing invoices with the applicable Customer Service Manager.
· Proactively follows up with customers on any past due invoices to confirm payment date.
· Assists the Accounting Manager with processing of payables, includes ensuring vendor, expenses, freight and purchased material invoices are valid for payment.
· Assists the Accounting Manager with financial data entries in QuickBooks and the processing of payroll.
· Assists the Billing & Accounting Managers with monthly, quarterly and annual financial reports.
· Answers phone calls in a prompt, polite, and respectful manner and transfers to the appropriate person (as required).
· Assists with monitoring of office supplies and ensuring orders are placed in a timely manner.
Qualifications:
· Must be at least 18 years of age.
· High School Diploma/GED.
· Knowledge of office management systems and procedures.
· Must pass a comprehensive background check.
· Must pass pre-employment drug test - We are a drug free work place!
· Excellent time management skills and ability to multi-task and prioritize work.
· Experienced with Microsoft Excel, Microsoft Outlook, QuickBooks is required.
· Good communication and interpersonal skills.
· Excellent written (spelling, punctuation & sentence structure) and verbal communication skills required (must be able to collaborate well with other employees).
· Working knowledge of office equipment, such as printers & scanners.
· Strong ethics and reliability.
