Payrate: $16.10 or higher based on experience

ESSENTIAL FUNCTIONS AND EXPECTATIONS OF THE POSITION:

  • Maintain Accounts Payable.
  • Process outgoing payments in compliance with financial policies and procedures.
  • Perform day to day financial transactions, including verifying, classifying, and recording accounts payable data.
  • Reconcile the accounts payable ledger to ensure that all bills, invoices, and statements properly reflect payments and are accounted for and properly posted in SSI FMS.
  • Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
  • Facilitate payment of invoices due by sending bill reminders and following-up
  • Generate reports detailing accounts payables status
  • Prepare monthly financial summary sheet and maintain check register.
  • Understand funds, expense accounts, receipt accounts, and cost/location centers
  • Understand and reconcile electronic payments on student fee accounts
  • Understands compliance issues around accounts payable processes (W-9, sales tax, etc.)
  • Enter new employee into SSI, report employment to SSA and Indiana new hire.
  • Assist with routine bank account reconciliation and in-depth problem solving.
  • Verify background checks
  • Send employee on-boarding documentation to new hires
  • Process and enter deposits/cash/credit card
  • Support compliance with school bylaws, policies, procedures, applicable, as well as Indiana State Board of Accounts and federal grant guidance
  • Answer phones, greet walk-in visitors
  • Monitor employment website for applicants
  • Monitor checking account on regular basis for fraudulent activity
  • Create purchase orders, checks, vouchers, claims, and payable docket
  • Process and create reports for the School Board
  • Process claim forms for employees
  • Assist the executive secretary, payroll specialist/deputy treasurer and substitute coordinator
  • Receive, open and disperse US Mail and interoffice mail
  • Monitor postage meter/replenish postage
  • Maintain vendor file for IRS W-9, TIN certification forms
  • Maintain personnel file for US CIS I-9, employment eligibility form and employee files
  • Process Auditor of State and Auditor of County electronic deposits and payments
  • Maintain high level of confidentiality
  • Must be a multi-tasker, self-starter
  • Fill in for and assist substitute coordinator and executive secretary
  • Assist payroll specialist with vouchers and employee verifications
  • Monitor corporate purchase card and activity.
  • Process and prepare invoices for facility use and for reimbursement of classified personnel payroll.
  • Gather and compile statistical information for the CFO and/or Superintendent.
  • Other duties as assigned.


QUALIFICATIONS:

Employee must demonstrate the skills and abilities listed below. Must also have good moral character and ethical code. Serve as a role model for students and adults. Can take direction and has organizational skills. Is self-directed and enjoys working with people.


Education and/or Experience:
High school diploma. Related experience preferred. School experience is preferred. Successful candidate will participate in the Indiana Association of School Business Officials (IASBO) professional development certification program Business Office Specialist track.


Language Skills:
Ability to read and interpret documents including, but not limited to, policies and budgets. Able to write routine reports, memorandum, and business letters. Able to speak effectively to individuals and small groups, utilizing good telephone and public relations skills.


Mathematical Skills:
Ability to perform four basic operations (add, subtract, multiply, divide) in whole numbers, fractions, and decimals. Able to utilize understanding of percentages and estimation.


Reasoning Ability:
Ability to apply common sense understanding and decision-making skills to prioritize tasks, solve problems, and carry out instructions in written, oral, or diagram form.


Other Skills and Abilities:
Must have an operational knowledge of word processing, spreadsheet, financial and student data programs, typing skills (40 words per minute minimum), organizational and time management skills. Must have good bookkeeping skills and ability to manage the district website.

Noise levels from general activity and office machines are moderate.
