Lake Ridge New Tech Schools Middle School Registrar/Guidance Administrative Assistant JOB DESCRIPTION: Lake Ridge New Tech Middle School Registrar/Guidance Secretary JOB REQUIREMENTS: The minimum education requirement is a high school diploma with proficiency in computers, office machines, typing and filing. REPORTS TO: Principal DUTIES AND RESPONSIBILITIES: 1. Work under the direction of the Principal and perform reasonable duties assigned by a Building Administrator. 2. Organize and maintain student files and records. 3. Screen and input data into the computer when enrolling students. 4. Create permanent files for new students 5. Prepare records to mail or fax when students transfer or withdraw. 6. Update and send student transcripts upon request. 7. Request academic, medical, and other necessary records for new students; follow up on requests as appropriate. 8. Maintain records of withdrawn students. 9. Assist the nurse in compiling accurate health records. When the nurse is absent, give medications, take temperatures, and call parents of ill students. 10. Process approved grade changes; mail and distribute acknowledgment forms. 11. Prepare data necessary for state reports. 12. Maintain security and confidentiality of student records. 13. Assist in organizing student/parent activities when necessary. 14. Assist with the testing process. 15. Complete and maintain dropout, suspension, and expulsion quarterly reports for School Improvement Team or administrative designee. 16. Complete and maintain state and local assessment reports for the School Improvement Team. 17. Perform secretarial/clerical duties assigned by counselors, social workers, and Administrators. 18. Be responsible for answering the telephone. 19. Program and run student report cards during the school year. 20. Organize, type, fold, seal, stamp, and mail all correspondence from counseling. 21. Set up parent/teacher conferences when needed. 22. Greet and accommodate parents, students and visitors when they come to the counseling office. 23. Make counselor appointments with students. 24. Keep office area organized. 25. Supervise student workers. 26. Assist with hospitality during special programs. 27. Help guide students to the appropriate counselor/social worker, nurse, or administrator when the student is distressed or confused. 28. Be responsible for distribution and collection of the teacher grade sheets. 29. Exercise good judgment in handling confidential information and correspondence. 30. Run needed data processing/schedule report
