Kupu’s Story

Kupu, which means “to sprout” or “to grow” in Hawaiian, has a two-fold mission: to preserve the land while empowering youth. The organization provides hands-on training in conservation, sustainability, and environmental education for young adults, with the goal of fostering our next generation of environmental and cultural stewards. Established in 2007 as a 501(c)3 non-profit, Kupu empowers future generations to create a more sustainable, pono Hawai‘i. Kupu accomplishes this by partnering with conservation and sustainability focused agencies throughout the state and pacific in providing hands-on service opportunities which educate and mentor young adults and emerging professionals to become stewards of our communities and environment. Since 2007, Kupu has risen to meet the increasing demands of the green job sector by engaging over 3,000 youth in the areas of conservation, sustainability, and environmental education. Position Overview

The Operations/IT Coordinator supports the Operations team in carrying out Kupu’s logistics strategy and making sure that the appropriate staffing, organization, and supply procedures are in place. Their duties include managing and tracking projects, coordinating IT requests, managing Kupu-owned and insured vehicles, and assisting with adjusting the workflow amongst different program teams to be more efficient.

Our goal is to ensure seamless coordination between various teams, minimize operational risks, and deliver exceptional service to both internal and external stakeholders.

Essential Duties and Responsibilities

Data and Administrative Tasks

  • Assist with and attend orientation and other program events as needed.
  • Assist in putting together orientation/training, interviews, and other materials for members, partners, and/or staff.
  • Assist in collecting, processing, and filing program paperwork (including receipts, and onboarding through to the end of term)
  • Assist in procurement and purchasing.

Information Technology Tasks

  • Assist in creating and maintaining documentation such as IT policies, procedures, and user guides.
  • Compile reports on various IT metrics, such as system uptime, help desk ticket statistics, or inventory management.
  • Assist with managing IT assets, including inventory tracking, equipment procurement, and managing software licenses.
  • Maintain an up-to-date inventory of hardware and software assets and assist with asset disposal or recycling.
  • Provide basic help desk support by triaging incoming IT support requests/logging tickets with HTS, and escalating issues to the appropriate IT personnel.
  • Assist with password resets, software installations, and troubleshooting common user issues.
  • Schedule and coordinate IT-related activities such as meetings, training sessions, software updates, or system maintenance.Manage calendars, book meeting rooms, and send out meeting invitations.
  • Support IT budgeting activities by tracking expenses, preparing financial reports, and assisting with the procurement process.
  • Assist with processing invoices, administrative budget, and expense tasks.
  • Assist with IT training programs, including scheduling training sessions, managing training materials, and coordinating with trainers or external training providers.
  • Assist with onboarding new employees, setting up user accounts, and providing initial IT orientation.
  • Manage internal IT communication, such as sending out IT announcements, developing an IT knowledge base, and creating/updating the IT department's SharePoint site (non-existent today).
  • Assist in drafting and proofreading IT-related communications.

Various Kupu Vehicle Tasks

Inventory Management

  • Regularly monitor inventory levels, stock movement, and turnover rates.
  • Analyze historical sales data and trends to forecast future inventory needs.
  • Identify slow-moving, obsolete, or excess stock and recommend appropriate actions.
  • Generate purchase orders to restock inventory based on demand and lead times.
  • Coordinate with suppliers to ensure timely and accurate delivery of goods.
  • Determine optimal order quantities to minimize carrying costs while meeting demand.
  • Conduct regular physical inventory counts to ensure accuracy between recorded and actual stock levels.
  • Investigate and resolve discrepancies between inventory records and physical counts.
  • Implement and maintain accurate inventory tracking systems and logs.Keep accurate records of inventory transactions, including receipts, adjustments, transfers, and sales.
  • Identify and communicate opportunities to streamline inventory management processes and enhance efficiency to operations specialist.
  • Implement best practices and continuous improvement initiatives to minimize waste and reduce costs.
  • Collaborate with various departments, including operations, accounting, and finance, to ensure alignment of inventory management efforts with broader organizational goals.
  • Assist in training Kupu staff in inventory ordering and return protocols as needed.

Minimum Qualifications:

  • Available full-time Monday through Friday, as well as occasional weekends and evenings
  • Possess a valid driver’s license and meet Kupu’s driving abstract requirements.
  • Willing and able to travel for program events, as needed.
  • Must meet Kupu’s criminal history background check requirements.
  • High School Diploma
  • Proficient with Microsoft Office programs (i.e. Excel, Word, Outlook, Office365, Teams)
  • Effective verbal and written communication skills

Preferred Qualifications:

  • 1 years of experience in operations and/or project management
  • Office administrative experience
  • Experience with planning and coordinating programs and events.
  • Salesforce and Asana experience

Compensation and Benefits:

  • Pay range: $18.26 - $20.19 per hour based on experience

Physical Requirements:

  • Ability to sit for extended periods while working on a computer or in meetings. Occasional standing may be required during meetings or presentations.
  • Proficient use of a computer, including keyboarding and viewing a monitor for extended periods.
  • Ability to lift and carry up to [Specify weight or range if applicable] pounds if required.
  • Ability to move around the office environment, including navigating between departments, attending meetings in various locations, and accessing filing cabinets or storage areas.
  • Clear vision for reading documents, viewing computer screens, and analyzing data.
  • Ability to hear and communicate effectively in person, over the phone, or via video conferencing.
  • Ability to perform tasks that require hand-eye coordination, such as operating office equipment, typing, writing, and handling paperwork.
  • Ability to work long hours occasionally, especially during peak periods or special projects.
  • Clear verbal and written communication skills.
