Department: SHP Physical Therapy & Rehab Science (PTRSAT) ----- Physical Therapy and Rehabilitation Science Position Title: Office Coordinator - School of Health Professions (Physical Therapy & Rehabilitation Science) Job Family Group: Professional Staff Job Description Summary: Performs diversified administrative duties under the direction of the PTRSAT Business operations manager to coordinate and maintain an efficient office operation and perform administrative duties of a complex and confidential nature in support of office activities. Provides office management, administrative, and logistical support for department. Job Description: Required Qualifications Education: Bachelor’s degree in business administration, education, or related field, experience may substitute for education on a year-to-year basis. Work Experience: 1 year administrative work experience. Preferred Qualifications Work Experience: 2 years administrative experience in an academic or medical setting. Skills Self-motivated Positive Strong work-ethic Strong communication Initiative Organization Attention to detail Job Duties Track travel requests for faculty and students, process spend authorization and reimbursement forms in Workday Provide logistical support for travel to campus for remote faculty Process Time and Absence approvals as Department timekeeper, as well as update absence/scheduling calendar Track hours and payments for guest lectures and lab assistants Maintain inventory of office supplies and teaching supplies and equipment, request repairs and maintenance as needed Coordinate maintenance of the PTRSAT teaching lab classroom with faculty and graduate teaching assistants, manage key access / badge access for storage areas Make room reservations for classes and meetings and events Maintain teaching lab calendar and student calendars, proactively identify potential conflicts with room reservations and assist with logistics for each cohort of students Plans department events including catering orders Attends department meetings and take minutes as needed Assist search committees with arranging campus visits and itineraries for visiting faculty candidates Provide administrative support to PTRSAT Department Chair Helps track outcomes for department committees and other functional units, implement new databases, and compile reports Other duties as assigned Required Documents Resume Cover Letter Comprehensive Benefits Package: Coverage begins on day one for health, dental, and vision insurance and includes health expense accounts with generous employer contributions if the employee participates in a qualifying health plan.
